Factory payment requests

How a factory's request to be paid reaches you, what approving or rejecting it does, and how to record the payment afterwards.

2 min read

Factories that work in their own connected Flyte portal can group their POs and ask to be paid. A request is exactly that: a request. Approving it doesn't pay anything; it confirms the request is right so your team can go ahead and record the payment.

#How a request arrives

  • On Payments, as a payment run marked Factory request / Awaiting approval.
  • As a bell notification.
  • In Approvals, with the type Payment requests. What's changing shows the amount, currency and number of POs.
  • On the purchase orders table, the POs involved show Payment requested, so you can see the factory is chasing without opening anything.

From a payment run awaiting a decision, Go to Approval Center takes you to the request.

#Step by step

  1. In Approvals, filter to Payment requests and open the request.
  2. Check the POs and amount against the factory's invoice.
  3. Press Approve, or Reject with a reason.
  4. If you approved, go to Payments and record the payment on the run as usual.

#What each decision does

Decision Effect
Approve Accepts the request and unlocks the run so you can record the payment. Pays nothing. The factory is told.
Reject Closes the request. Your reason is shown to the factory on its own page.

Tip

write a rejection reason the factory can act on, such as which PO is wrong and why. They see it word for word.

#Rules worth knowing

  • A factory request can't be closed until it is approved. That is the point of the step.
  • You can't add POs to a factory's request. Its lines are the factory's statement of what it is owed and must match their invoice.
  • A PO number Flyte can't recognise is kept and shown in red, rather than dropped, because the factory's total includes it.

#Common questions

I approved it but the POs aren't paid. Approving doesn't pay. Record the payment on Payments.

The factory says it still shows awaiting payment. That is correct until the payment is recorded.

Can I change the amount? No. Reject it with a reason and ask the factory for a corrected request.
