Flyte Knowledge Base

Release

Everything that changed in the new Flyte

A complete list of what moved, what was renamed and what is new in the redesigned Flyte, with a \"Where has it gone?\" table for your team.

The system your team used to call the OMS is now Flyte, and every screen has been redesigned. This page lists everything that changed, area by area, so you can find your way on day one. If you only read one part, read Where has it gone? below.

What did not change: your data, your logins, the order journey and its statuses, and every link you have already sent to a customer or a factory. Your customers still see your logo and colours, not ours.

There are separate pages for what your customers will notice and what your factories will notice. You can send those links straight on.

#Look and layout

  • One pattern everywhere. Lists have a summary strip at the top, tabs or counters with numbers, a search and filter bar, and a table. Records open as full-page workspaces.
  • One main button. Each workspace shows one button for the obvious next step. Everything else is under Actions.
  • ‹ › in a workspace header steps to the previous or next record in the list you came from. The breadcrumb or ✕ closes it. Each order has its own link you can share with a colleague.
  • Unsaved changes bar. On a customer's details and in Settings, a bar at the bottom appears while you have unsaved edits, with Save changes or Discard.
  • Status bar and Stage card. Orders and POs show a colour bar of the journey (Draft, Submitted, Production, International Shipping, Local Shipping, Completed) and a Stage card with the current step. Steps an order never went through show grey. Show stages / Hide stages expands it, and your choice is remembered.
  • Pictures open in Flyte. Clicking an image opens a full-size viewer instead of a new browser tab.
  • Top bar. Search (⌘K or Ctrl+K) jumps to an order, PO, customer, product, visual or factory. The New menu starts a new order, visual, product, PO, customer, quote or team message. Messages and the Notifications bell sit beside it.
  • Filter bars you can arrange. On the Products, Orders and Visuals lists, Filters lets each person choose which filters show, in what order and width. The rest sit under More filters. Active filters show as chips you can remove, and there is a Sort control.

#Dashboard and To Get Done

  • The Dashboard has headline cards (Visuals with customers, Orders to check, POs past due, Unread messages), an At a glance row, a Production pipeline bar of open POs by stage, and a Reminders due card when one of yours is due. Each card only shows if you can open the page behind it.
  • To Get Done groups waiting work into cards (orders, purchase orders, approvals, quotes, messages). Each line is tagged Urgent, Needs action or Your move, and opens to list the actual records behind the count.

Read The dashboard and To Get Done.

#Orders

  • Orders list: stage counters, a Days to due column, chips on drafts (No products yet, Ready to send, With customer, Changes requested) and new Customer and Due filters.
  • Order workspace with tabs Order details, Products and, for people with Financials access, Costs & margin.
  • Costs & margin (new): revenue, the cost build-up (goods, freight share, duties and fees), profit and margin, from first estimate through to actual. Each figure says how final it is. See Financials.
  • Customer emails card (new): every email the customer can get about this order, with a switch for each and Pause all emails for this order. Buttons that would send a switched-off email grey out. See Pausing emails on one order.
  • Reminders card (new): see Calendar and reminders below.
  • Internal notes now read as plain text with a pen to edit.
  • Choose address offers the customer's saved addresses and sub group addresses, and the customer's default address preloads on a new order.
  • Add products is now one picker: search, filter, tick several products and press Add N products.
  • Dates: a timeline bar shows today, Factory finish, the due date and the ETD. A Factory closure note appears when a date falls in or near a factory's closure. It is information only; no date moves.
  • One date rule: the earliest standard date is now longest product lead time + freight transit + local delivery days, but only when the goods come through your warehouse. A PO shipping direct to the customer skips the local leg. The same rule drives the confirmation page, the URGENT flag and the date pickers.

Read The order workspace and Products and pricing on an order.

#Visuals and enquiries

  • Board view (new): visual jobs as cards in columns (New enquiry, In progress, With the customer, Changes requested, Approved). List view is still there; your choice is remembered.
  • CC emails (new): pick other people at the customer, or type any address, to copy on every approval email for that job.
  • Visual approval process (new setting): Settings → General → Visual approval process. The default, Send to my customer, lets the customer request changes on some products and leave the rest undecided, and lets them pass the visual to their own customer on a separate link that shows no prices. New statuses go with it: With end customer, Approved by end customer and End customer requested changes. Classic keeps the rep review phrase. See Letting your customer's customer approve.
  • Price requests (new): a customer who presses Request a price on a Price on enquiry product creates an enquiry marked Price requested. Quote this starts a quote from it. See Price requests.
  • Logo library (new): when placing a logo, pick from the sub group's saved logos. See Sub groups and the logo library.
  • Raise Order Now now offers only that visual's approved products, not every product the customer has ever approved.

#Quotes

  • A quote opens as a full-screen workspace with Quote and Line items tabs, and everything else under Actions.
  • New quote is in the top bar's New menu.
  • Quote this on a price request starts a quote with the product and quantities filled in.

Read How quotes work.

#Purchase orders

  • Quick view (new): clicking a PO in the list opens a side panel (Overview, Line items, Messages, Files). Open full PO opens the workspace.
  • PO workspace with a stage bar, PO details and Products tabs, and a Reminders card.
  • Spec as sent (new): each product on a sent PO shows Spec as sent on a date. If the product has been edited since, Compare shows what the factory was sent beside the current product. See Submitting a purchase order.
  • Factory price changes (new rules): approving new buy prices from a factory first lists the open POs carrying that product (Draft, Submitted or Not Approved), old price → new, all ticked. Untick any PO to keep its price. A factory can also propose a price on one line of one PO. While either kind is waiting, the PO can't go into production. Once a PO is in production its prices never change, even if a quantity changes. See Factory change requests and price proposals.
  • Add a custom line (new dialog): choose Charge or fee or Goods, a code, description, size group (Uni for one-off charges), quantity and price, which order it Applies to on a multi-order PO, and an optional image.
  • Freight on the factory's invoice (new): Factory paid freight? → Yes, on factory invoice with an amount, or No, paid separately.
  • Panel prints for several customers: when a PO carries orders for more than one customer, each customer gets their own approval email with only their own products.

Read Editing a PO and adding custom lines.

#Approvals

The Approvals page is now two collapsible sections, each with its own count: Panel prints (with the live approval state for each product) and Product & PO changes (product edits, PO change requests, extra lines and payment requests). Price changes show which open POs they affect before you approve. Read How Approvals works.

#Freight and shipments

  • The Freight page has summary tiles and tabs including Waiting freight $ for closed shipments with no freight charge yet.
  • Landed costs card (rebuilt): add each bill with Add charge (type, description, invoice number, amount and the currency it was billed in), then spread by volume or by units. See Landed costs.
  • Volume check (new): a shipment can't be closed while any product on it has no volume. The shipment names the products. Products and POs warn earlier with a No volume chip.
  • Tracking links (new): in Settings → Shipping & freight → Carriers, each carrier can have a Tracking URL. Tracking numbers then show as links, on your screens and to your customers. Common carriers come pre-filled. See Tracking numbers and carriers.

#Products

  • Products list: tabs All, Customer, Base, Stock and Missing images, with counts; the arrangeable filter bar; sort.
  • Product workspace tabs: Details, Pricing, Variants and Stock (stock products), Sizes, Artwork & files, Order history, Notes & timeline, and Sync where an integration is on.
  • Artwork & files: the artwork renders in one row, then logos, detailings and other files. Each file, logo and detailing has a Visible to customer switch. The product's own artwork shows to customers by default; extra files you or the factory upload are hidden by default.
  • Order history (new): every order line the product was on, paired with the PO that made it, with buy and sell prices side by side.
  • Linked to base product card spells out which fields follow the base and which were copied once.
  • Price on enquiry (new): a switch on a base product's Pricing tab. Customers see Request a price instead of a price. See Price on enquiry.
  • Renaming a setting renames it everywhere (new): clicking a value in Settings → Product attributes (or a size group) shows how many products will change, then updates them. Editing a fabric in a factory's library updates the products using it. Placed orders and POs are not changed.
  • Fields only used by Shopify are hidden unless your account uses Shopify.
  • Fixes: saving a product you haven't changed no longer alters anything on it. Buy prices and locked prices you type on stock products are no longer wiped by the hourly supplier sync.

Good to know

if your account has the MOQ gate switched on, orders are held to each product's minimum order quantity. It is off unless switched on for your account. See Minimum order quantities.

#Customers

  • Customer workspace (no side panel). The Overview tab shows open orders, what they ordered this year, products and visuals in progress.
  • Addresses (new): up to five saved delivery addresses per customer in Company details → Addresses, one marked Default. See Saved addresses.
  • People: adding or editing a person opens a side drawer. Each row shows portal status (Active, Invited, Invite expired, Not invited, Disabled) and when they last signed in.
  • Disable portal access (new): stops someone signing in and receiving customer emails while keeping them and their history. Enable portal access restores them.
  • Receives reports (new): a per-person tick for the weekly production schedule.
  • Logo for light backgrounds (new): an optional dark or full-colour version of the customer's logo for the top of their portal.
  • Sub groups open in a drawer with name, logo, assigned users, delivery address, colours and the Logos library.

Watch out

what customers see in their portal changed. It is now per person, not per company. Orders and shipments show only to the order's contact, products follow sub group assignments, and the account admin sees everything. If a customer says "I can't see our order", check who the order's contact is. See What customers can see.

#Factories

  • Factories list with tiles and tabs (On the platform, Has portal login, Not linked, Inactive), and a full-page factory workspace.
  • People & logins uses the same side drawer as customer people.
  • Factory closures (new): factories now enter their own closures (for example Chinese New Year) in their portal. They appear on your calendar as " closed — ", for your team only. Click one to Show to customers; customers see "Production closed" and never the factory's name.
  • Capacity is the factory's own planning tool and is never shown to you.
  • Team permissions for factory users are now set by the factory itself, in its portal.

Read Setting up a factory.

#Messages

  • One messenger for orders, POs, team chats and support, opened from the top bar. On a desktop it opens in two panes, list and conversation. The first tab, All, puts everything in one list (starred first, then today, then earlier); Orders & POs, Team, Support and Requests are beside it.
  • The same messenger on all three portals. Your customers and factories now get the same conversation view you do, so a reaction, a reply, an edit ("edited") or a deletion ("Message deleted") shows the same way on every side. You can edit your own message within 15 minutes and delete it any time.
  • Who is who: your messages on the right in blue, teammates on the left with their name, the customer or factory on the left in their colour with a company tag. Status updates fold into one "N updates" line.
  • Filters on every tab (for example Unread, Awaiting reply, Starred) and Mark all read. Stars, mutes and unsent drafts are saved to your login, so they follow you to any computer.
  • New: Saved replies (☰) for text you send often, personal or shared with the team.
  • New: keyboard shortcuts (j/k, /, r, s, Esc) and a camera button on a phone.
  • Support tickets show Open, Waiting on you or Resolved.

Read The Messages drawer. Automatic Chinese ↔ English translation of factory messages works as before where it is switched on; see Automatic translation.

#Calendar and reminders

  • Calendar: Month and List views, a Showing filter (Everything, My calendar, Team, Customers), a Coming up card and a Closures & holidays card. Drag across days to add an entry. Load NZ holidays adds public holidays in one go. Factory closures and reminders show on the calendar.
  • Reminders on orders and POs (new): in an order or PO workspace, Reminders → + Add reminder. Choose Only me or Public, and a date or a number of days before or after the Required date or ETD. Up to three open per record. When one is due you get the bell, a red Reminders pill in the top bar, a count on To Get Done and a pill on the calendar, until you press Done, Snooze or Delete.

Read The calendar and reminders.

#Settings

  • A grouped menu with Search settings at the top: Business, Catalogue, Money & freight, Communication and System. See Finding your way around Settings.
  • General: Logo for dark backgrounds (new, for the dark menu), a live How it will look email preview, and Visual approval process.
  • Team & access: each person opens in a side drawer with Details, Role, Access and Team emails. Role pills (Owner, Full access, Manager, Team member) show at a glance.
  • Shipping & freight: one card per freight method (with Make default and a delete button that first tells you what uses it), Carriers with tracking links, and Local delivery with regions and a rural add-on.
  • Emails & reminders: email templates as cards grouped Customers, Factories and Your team, each saying who gets it and when, with Default / Customised pills. The editor has a live preview, and placeholders show as chips you can't delete by accident. See Editing email wording.
  • Reports (new): the weekly production schedule's layout: pick, rename and reorder columns, preview it and send yourself a test.
  • Integrations: tiles showing Active, Off, Not connected or Needs attention. See Integrations.
  • Invoicing and Payment terms appear only where invoicing is switched on for your account. See Invoices, deposits and credit notes.

#Emails

  • Every email still carries your logo and brand colour (or your customer's, on emails about them). A small "Powered by Flyte" line now sits at the very bottom, under your name.
  • Per-order switches on the Customer emails card decide whether each email goes; the order's contact is still the only recipient.
  • A person whose portal access is disabled receives no customer emails.
  • With Send to my customer, the end customer can receive the visual by email, from your sending address, with no prices on it.

Read Which emails go out, and who gets them.

#The Flyte assistant

If your account has the assistant switched on, Ask Flyte is pinned at the top of Messages → Support. Ask it how to do anything in Flyte, or ask it to train you on a topic. It can't see your data or change anything, and Send to a human passes the conversation to your support team. Separate versions for your customers and your factories are each switched on separately. Read What is the Flyte assistant.

#Coming soon

Your own online store is built and switched off while it is tested. It will be switched on per account. See Coming soon: your own online store.

#Common questions

Has anything happened to my data? No. The redesign changes the screens, not your records.

Do old links in emails still work? Yes. Every approval, confirmation and quote link sent before the change still opens.

A colleague can see something I can't. Sections and powers are set per person in Settings → Team & access. See Sections and powers.

Where do I ask for help? Messages → Support, or search this Knowledge Base by pressing /.
