Letting your customer's customer approve
How the "Send to my customer for approval" option and the Classic rep review phrase work, and what you do when an end customer asks for changes.
Your customer is often a reseller, and the person who really signs off the design is their customer, such as a club or school. Flyte supports this in one of two ways, set in Settings → General → Visual approval process. Switching between them is instant and loses nothing.
#Send to my customer (the default)
On the approval page, your customer presses Send to my customer for approval, beside Submit Decisions. They can add their customer's name and email. With an email, Flyte sends the link for them. If they leave it blank, they get a link to forward themselves.
The end customer gets a separate link with no prices on it — not yours and not your customer's. They see the artwork, sizes and colours, and can approve each product or request changes.
You do not need to do anything when this happens. The visual moves to With end customer by itself, the History records who it went to, the bell rings, and Enquiry notes & details shows who it was shared with.
#When the end customer asks for changes
The changes arrive like any change request: the job becomes Changes Requested, the designer is emailed and the bells ring. The request is labelled End customer requested changes, and your customer (the rep) is emailed too.
Make the changes and re-send to the rep, never to the end customer. Re-sending closes the end customer's old link; your customer then shares it with them again.
Watch out
do not send the revised visual to the end customer yourself. It always goes back to your customer, who decides whether to pass it on.
#When the end customer approves
The visual moves to Approved by end customer and your customer is emailed. Nothing is ordered. Your customer's own link then offers Approve & Place Order as usual; they still enter the quantities, and confirm the PO number and delivery afterwards.
#Classic — the rep review phrase
Under Classic, every product on the page needs a decision. To let a rep send changes on some products while leaving the rest undecided, set a Rep review phrase on the customer in Customers → Edit → Visual approvals. That field only shows when Classic is selected.
The rep types the phrase when the page asks for every decision. The round is recorded as Rep review — changes requested. A wrong phrase is refused; leaving the phrase blank switches it off. It is a convention between you and the rep, not a password.
#Which should I use?
| Send to my customer | Classic | |
|---|---|---|
| Partial change requests | Allowed for everyone | Only with the rep review phrase |
| Passing the visual to the end customer | Built in, with a no-prices link | Your customer forwards the email themselves |
| Set per | Account | Account, with a phrase per customer |
#Common questions
Does the end customer see any prices? No. Their link never shows prices.
Can the end customer place the order? No. Their approval orders nothing. Your customer places the order from their own link.
Where can I see who the visual was shared with? In Enquiry notes & details and in the job's History.
