Sending a visual for approval

Send a visual job's products to the customer for approval, choose which products go, and understand the email and link they receive.

2 min read

Once the designs are ready, you send the job to the customer. They get an email with a link to an approval page where they decide on each product separately. The link needs no login, on purpose, so they can forward it to whoever signs off.

#Before you send

  • Every product you want to send has a Front image or Back image.
  • Every undecided product is marked ✓ Done.
  • Send to contact is set on the Job details tab, and any CC emails are added.

#Step by step

  1. Mark every undecided product ✓ Done.
  2. Press Send for Approval (or Resubmit on a later round).
  3. Under Products included, tick the products to send. A product with no front or back image cannot be ticked, and approved or ordered products are locked.
  4. Check the recipient.
  5. Send. The approval link is shown so you can copy it.

#What the customer receives

The contact, plus anyone in CC emails, gets a "visual ready" email with a link to the approval page. It also appears as a notification in their portal. The email and the page carry the customer's own logo and colours.

The link never changes. Every round of the same job uses the same link, so an old email still opens the current version.

#The job's status after sending

Status Meaning
Submitted Every product went to the customer.
Partially Submitted You held some products back.

The Due date is cleared when you send. If you are sending a round of changes, set a new due date for the next round.

#Sending it yourself

Actions → Copy approval link gives you the link to send by any means you like. This is useful if the customer says they never got the email.

#What happens next

The customer decides on each product. See The customer's approval page. When they submit, you and they get notified, and the job status updates. See Handling changes and responses.

#Common questions

I can't tick a product to send. It has no front or back image, or it is already approved or ordered.

The customer says they didn't get the email. Check the address in the job's History, which records every send with its address and link. Then use Copy approval link and send it to them directly. Emails go to Send to contact and the CCs.

Can my customer forward the email? Yes. That is what it is built for. The page shows no login prompt and carries their branding, not yours.

Do I send to my customer's customer directly? No. You send to your customer. If they want their own customer to approve it, they do that from the approval page. See Letting your customer's customer approve.
