Handling changes and responses
What happens when a customer submits decisions on a visual, who is notified, what the receipt email contains, and how to send a revised round.
When a customer submits their decisions, Flyte updates the job, tells the right people, and emails a receipt of what was decided. If anything was sent back, your designer revises it and you resubmit.
#When changes are requested
The job becomes Changes Requested, or Partially Approved if some products were approved and others sent back. A banner shows on the job, and each product carries the customer's notes.
Who is told:
- The assigned designer gets a bell and an email.
- If no designer is assigned, all admins are emailed.
- All admins get a bell either way.
The customer's change notes are also posted in the job's Discussion thread.
#Sending a revised round
- Open the job and read the notes on each product sent back.
- Make the changes and upload new renders.
- Mark the changed products ✓ Done.
- Set a new Due date if you want one for this round.
- Press Resubmit.
Approved products stay approved and locked; the customer only re-reviews what changed. The link is the same one they already have.
#When everything is approved
The job becomes Approved. The customer can order from the approval page, or later from the receipt email or their portal.
#The receipt email
As soon as decisions are submitted, a "Response received" email breaks down what was decided on each product: approved and ordered, approved for later, or changes requested.
- It goes to the job's contact, not to whoever clicked. That matters when your customer forwarded the link to someone else.
- If the contact has their notifications switched off, no receipt is sent.
- If the job has no contact, it goes to the address the approval link was last sent to.
It can carry up to two buttons:
| Button | Appears when | What it does |
|---|---|---|
| Raise Order Now | Products were approved but not ordered | Opens an order page for that job's approved-for-later products. |
| Confirm Order Details | An order was placed | Opens the order confirmation page. |
#Common questions
The designer wasn't told about the changes. Check that the job has an Assigned designer. With none, all admins are emailed instead.
Will the customer have to re-approve products they already approved? No. Approved products stay locked and approved.
The customer forwarded the link to their client, who clicked. Who got the receipt? The job's contact, not the person who clicked.
