What a visual job is
How visual jobs (enquiries) work in Flyte, where they come from, and how one moves from first enquiry to an approved design and an order.
A visual job is where a customer's idea becomes artwork they sign off. Flyte calls the same thing an enquiry, and each one gets a reference such as VIS-0123. Your team draws the designs up, sends them for approval product by product, and once every product is approved the customer can order straight from the approval page.
You find them under Visuals in the sidebar ("Artwork from first enquiry to customer approval").
#Three parties, not two
Most jobs involve three parties: you, your customer (often a reseller such as a uniform or club supplier), and their customer, the club, school or team who will wear the garments. The approval emails and pages carry your customer's branding and need no login, so your customer can forward them to whoever actually signs off. Anything with a commercial consequence, such as committing to an order, still comes back to your customer.
#Where jobs come from
The Type column tells you how a job started.
| Type | How it starts |
|---|---|
| Customer | The customer raised it from their portal. Their note shows read-only under Customer's notes and their files under Attachments. |
| Price requested | The customer pressed Request a price on a product that is priced on enquiry, and gave sizes, quantities and a note. See Price requests. |
| Manual | Someone on your team pressed New visual job. See Creating a visual job. |
When a customer raises one, every admin gets a bell notification, and the customer gets an "enquiry received" acknowledgement so there is a record that you have it. Admins who have ticked New enquiries in their notification preferences (Settings → Team & access) also get an email.
Good to know
the New enquiries email is off by default for every admin. If people say they are not being told about new enquiries, check that setting first.
#The life of a job
- New enquiry — the job arrives or is created.
- In progress — a designer works up the products and their artwork.
- With the customer — you press Send for Approval and the customer gets a link.
- Changes requested — the customer sent one or more products back. You fix them and Resubmit.
- Approved — every product is approved. The customer can order, now or later.
- Closed — every product has been ordered (the job closes itself), or you closed a stalled job.
#The Visuals list
You can switch between Board and List view; Flyte remembers your choice.
- Board shows columns for New enquiry, In progress, With the customer, Changes requested and Approved (and Closed when shown). Each card shows its due date, whether it is overdue, or how long it has sat with the customer.
- List has counters for All, In progress, Change requests (which includes partially approved jobs), Submitted and Approved. You can search by reference, title or customer, and filter with All Statuses, All Types and All Customers. Hide Closed is on by default; Hide Submitted is also available.
List columns are Reference, Type, Customer, Sub-group, Title, Status, Due (click to sort), Assigned and Updated. Urgent jobs show in red.
#Statuses you will see
| Status | What it means |
|---|---|
| Submitted | Every product on the job was sent to the customer. |
| Partially Submitted | Some products were sent; others were held back. |
| Changes Requested | The customer sent products back for changes. |
| Partially Approved | Some products are approved and others were sent back. This is a real state, not an error. |
| Approved | Every product is approved. |
| With end customer | Your customer passed the visual to their own customer for approval. |
| Approved by end customer | Their customer approved it. Nothing is ordered until your customer orders it. |
#Common questions
Why can't the customer see an enquiry? Enquiries in the customer portal are visible by sub-group assignment. A person sees jobs for the sub groups they are assigned to, jobs they raised, and jobs they are the contact on. The account admin sees all of them. Use View as Customer to check.
Can I delete a job? Only until something on it is approved. After that, use Close enquiry instead.
Where do I see what happened on a job? The History section of the job records every send (with the address and link), status changes and orders raised.
