The customer's approval page

What your customer sees on a visual approval link, the three decisions they can make on each product, and the rule that stops a job being half-ordered.

3 min read

The approval page is what your customer opens from the "visual ready" email. It shows each product on the job as its own card, with whichever artwork exists for it: front, back or both. The customer makes one decision per product, not one decision for the whole job.

#The three decisions

Decision What it does
Approve & Place Order Signs the design off and orders it now. Opens a grid for quantities per size, and names and numbers if the product needs them.
Approve for Later The design is right, but don't order yet. It stays approved and can join a later order.
Request Changes Sends the product back with a note, and files if they like. They get a new visual to review.

To approve or order, every product needs a decision, and the customer types their name. Placing an order also asks them to tick a short checklist.

#No partial orders

This is the rule that surprises people. An order can only be placed once every product on the visual is approved.

  • Choosing Request Changes or Approve for Later on any product removes the order option from every product.
  • Choosing Approve & Place Order on one product removes the other two options from the rest.

It stops a job splitting into an order that is half in production and half still being designed. If some products need changes, the customer approves the good ones for later. When the changes come back, they order everything together. Products approved for later can join a later order with Place Order for This Too.

#Asking for changes on only some products

Under the default approval process (Send to my customer, set in Settings → General → Visual approval process), the customer does not have to decide everything at once to ask for changes. They choose Request Changes on the products that need it, leave the rest undecided, and submit. The undecided products are not approved. The every-product rule applies only when approving or ordering.

Under the Classic process, every product needs a decision, but a rep can type a Rep review phrase to send changes while leaving the rest undecided. See Letting your customer's customer approve.

#What happens when they submit

  • Products sent back become Changes Requested (or Partially Approved if some were approved).
  • If everything is approved, the job becomes Approved.
  • If anything was ordered, Flyte creates a draft order straight away. See Orders from a visual.
  • A "Response received" receipt is emailed to the job's contact. See Handling changes and responses.

#Common questions

Why can't my customer click Approve & Place Order? Another product on the job is set to Request Changes or Approve for Later. Every product must be approved before an order can be placed.

My customer approved the visual. Why do they still need to confirm the order? Approving the design is not the commercial decision. Their order arrives as a draft, and the confirmation step asks for their PO number, air or sea freight, delivery address and the date they need it by, none of which the approval page asks. See Getting the customer to confirm an order.

Does the page show prices? The approval page is about the design. Prices can be shown later, on the order confirmation link, if you switch that on for the order.
