Orders from a visual

The two ways an approved visual becomes a draft order, what the order carries over, and what to do next.

2 min read

Once products on a visual are approved, they can become an order. There are two routes, and both create one Draft order containing everything ordered at that time.

#Route 1: Approve & Place Order

The customer chooses Approve & Place Order on the approval page and enters quantities.

  • The order number starts CUS-.
  • The order takes the job's contact, the job's name and the PO number.
  • The receipt email carries a Confirm Order Details button that opens the confirmation page.

#Route 2: Raise Order Now

Products approved for later can be ordered afterwards with Raise Order Now, from the receipt email.

  • The customer picks quantities and can attach their PO.
  • The order number starts MAN-.
  • Your team gets a bell notification.
  • No confirmation email is sent automatically. You send it from the order when you are ready.

Good to know

a Raise Order Now button only offers that job's approved products. A button in an older email may not be tied to one job, so the page asks the customer which job to order from first.

#What carries over

  • The job's attachments are copied onto the order.
  • Ordered products become Ordered on the job and join the customer's products.
  • When every product on the job is ordered, the job closes itself.

#What happens next

The order follows the normal order process. It is a draft until your customer confirms it. Use the plain confirmation route, not Send for Review & Confirmation, because the artwork was already approved on the visual. Asking again would be exactly the double-up that flow exists to avoid.

See Getting the customer to confirm an order and Confirming an order and raising POs.

#Closing a job that has stalled

If a customer approved some products for later but is never going to order them, use Actions → Close enquiry. That also removes the job's approved products from the customer's "Raise Order" page.

#Common questions

Why can't the customer order? Not every product on the job is approved.

The customer ordered some products and approved others for later. Is the job closed? Not yet. It closes itself only once every product is ordered.

Do I need to push products to the database before ordering? No. Ordered products join the customer's products automatically. Push products to DB is for making products permanent without an order.
