Confirming an order and raising POs

Check a customer-confirmed order, confirm it with a delivery date, send the customer their order confirmation, and create purchase orders for your factories.

2 min read

When the customer has confirmed, the order sits at Ready to Check. It is still a draft, and nothing has gone to a factory. Your team checks it, confirms it, and raises the purchase orders.

#Check the order

Look over the quantities, the pricing and the delivery date. The dashboard's Orders to check card and the To Get Done page both list orders at Ready to Check.

#Confirm it

  1. Open the order.
  2. Set the ETD (customer delivery) in the Dates card. An ETD is required. The order can't leave Draft or Ready to Check without one, because this is the moment you make a promise to the customer.
  3. Press ✓ Confirm Order (or Manually Approve if you are pushing it through without the customer's sign-off).

If any line is $0.00, you are warned first. If the ETD is later than the customer's Required by date, you're told by how many days, and the customer is emailed that the date can't be met.

#What happens when you confirm

  • The order becomes Submitted.
  • The order's contact gets the order confirmation email. It carries no pricing, so your customer can forward it to their own customer as their confirmation.
  • Customer messaging on the order unlocks.

#Create the purchase orders

  1. On Orders, tick the confirmed orders.
  2. Press Create PO from selected.
  3. The lines are grouped by factory. Untick anything to leave it out; it stays at Scheduling.
  4. Press Create POs.

Buy prices come from the product's buy tiers, or its base product's. A $0.00 PO line means no buy price is set on the product or its base.

Good to know

a confirmed order with no factory sits at Scheduling. Creating a PO splits it by factory and moves each part on.

#What happens next

The factory accepts the PO and starts production. Depending on the order, there may be panel prints or a pre-production sample for the customer to approve first. See Order statuses and Production photos and samples.

#Common questions

"A delivery date is required…" Set the ETD, then confirm.

I can't create a PO. The order must be confirmed first.

The PO line is $0.00. The product and its base have no buy price. Add buy pricing to the product.

Does the order confirmation show prices? No, by design, so it is safe to forward.
