Names & numbers, artwork and pre-production samples
Add per-garment names and numbers to an order, download the artwork PDF, and set up a pre-production sample before bulk production.
Some orders need more than quantities: a name or number on each garment, or a full sample made before the bulk run. Both are set on the order's Products tab.
#Names & numbers
When the customer supplied a list, it shows on the product as a 📋 N names & numbers chip. If the count of names doesn't match the quantity, the chip warns you.
To key a list in yourself, for example from an emailed PO:
- Enter the quantities first.
- Press ＋ Names & numbers next to the product code (or ✎ Edit names to change an existing list).
- Fill in one row per garment. Rows are generated from the quantities you entered. A partial list is fine.
The customer sees the list on their review page, and it travels on to the PO and the factory like any customer-supplied list.

#Pre-production samples (PPS)
A pre-production sample is a complete sample garment the factory makes in a size you choose, before any bulk production starts. The customer approves it first.
#Set it up
- On the Products tab, find the Pre-production sample card at the top.
- Tick it.
- Choose Ship sample to: Our warehouse or Direct to customer.
- Pick a sample size for each style, from its size group.
- Press Save PPS details.
Watch out
the sample details lock once a PO exists. Set them before you raise the PO.
#What happens next
- The PO tells the factory to make the sample first, and a sample-cost line per style is added automatically.
- When the factory ships the sample, the customer gets an email with the sample photos and a no-login review link. Orders wait at PPS Approval.
- The customer can approve and start bulk, approve with changes (their notes go to the factory and bulk goes ahead with them), or ask for another sample.
- Bulk production does not begin until they approve.
The sample review page is listed under Other customer pages in the order's Approvals & changes card.
#Common questions
The names chip shows a warning. The number of names doesn't match the quantity ordered. Check the list against the sizes.
Can I add a PPS after the PO is raised? No. The card locks once a PO exists.
Who sees the names and numbers? Your team, the customer on their review page, and the factory on the PO.
