Order statuses

What every order status means, from Draft to Closed, and who is holding the job up at each stage.

2 min read

An order's status tells you where it is in the journey and whose move it is. Statuses only move forward: a later step never drags an order back.

#Before the factory

Status What it means Whose move
Draft Being built, or out with the customer to confirm. Nothing ordered. Yours, or the customer's
Ready to Check The customer confirmed. Still a draft. Yours — check and confirm
Scheduling Confirmed, but no PO raised for some or all of it yet. Yours — raise the PO
Submitted The PO is with the factory. The factory, to accept

#Approvals before the bulk run

Before the bulk run, the factory may photograph a sample print (panel prints) for you to review and send to the customer, or make a full pre-production sample. While that happens the order shows one of these:

Status What it means
Panel Prints to Review / Sample Approval Production photos are going through review and customer approval.
Sample Changes At least one product came back with changes requested.
Partial versions of the above Not every product has been sent yet.
PPS Approval A full pre-production sample is with the customer.

Approval status is judged per order. One PO can carry several orders, and each order moves to Production once all of its own products are approved.

#Production and shipping

Status What it means
Production The factory is making it.
Awaiting Shipping Instructions Production is complete but the order has no freight method. The factory is waiting on you; set one and it moves on by itself.
Ready to Ship Production is complete and a freight method is set. Book the freight.
Shipping The goods have left the factory.
Received Arrived at your warehouse.
Out for Delivery / Local Shipping On the way from your warehouse to the customer.
Delivered Delivered. Set by hand.
Closed Delivered and the PO is paid. The final state.

#Holds

Status What it means
On Hold The order is on hold, with a reason. See Holds, splits, merging and deleting.
Partial On Hold Part of the order is on hold.

#Two journeys

Freight is the international leg from the factory to your warehouse, the air or sea choice made at confirmation. Local delivery is the last leg from your warehouse to the customer, and that is what the customer's tracking link covers.

#Common questions

Why is the order at Submitted when the factory asked for changes to the PO? The order isn't wrong; the PO is. Linked orders stay at Submitted while the PO is at Not Approved.

Why didn't the order move to Delivered on its own? Delivered is set by hand.

What's the difference between Ready to Ship and Awaiting Shipping Instructions? Whether the order has a freight method. The split shows who is holding the job up.
