How quotes work
What a quote is in Flyte, the Quotes list, what each quote status means, and how a quote fits in before an order.
A quote is a priced offer you send to a customer or a new lead. They open it online, pick a quantity for each style, and accept or decline. An accepted quote can then become a customer record and products, ready for an order.
Good to know
accepting a quote does not create an order. You raise the order yourself once the customer and products exist.
You find quotes under Quotes in the sidebar, or create one from the top bar with New → New quote.
#The Quotes list
- Counters: All, Draft, Sent, Accepted, Declined.
- Search: "Search number, client, company, email…".
- Filters: a status filter and Hide expired.
- Columns: Quote #, Client, Items, Value, Status, Sent, Valid until, Created.
Click a row to open the full-screen quote workspace.
#Statuses
| Status | What it means |
|---|---|
| Draft | Being built. The customer hasn't been sent it. |
| Sent | Emailed to the customer, waiting on their answer. |
| Accepted | The customer accepted. Quantities and prices are locked. |
| Declined | The customer declined. Locked. |
| Expired | Past its Valid until date. The customer can still view it but cannot respond. |
#The quote workspace
The workspace has two tabs, Quote and Line items. Everything else is under Actions:
- Send to client, Copy quote link, Open the client's page.
- Client's answer → Mark accepted / Mark declined.
- Turn it into work → Create customer, Build product, and Create Shopify draft order if your account has the Shopify connection switched on.
- Add style, Save details, Duplicate, Delete quote.
#The journey
- Create the quote and add styles with their quantity breaks.
- Send it. The customer picks quantities and accepts or declines.
- Turn the accepted quote into work: a customer, products, and then an order.
Quotes also come from customers' price requests. See Price requests.
#Activity
Each quote keeps an Activity record: when it was sent (and whether the email went), when the customer first viewed it, their responses, file uploads, the customer being created and products being built.
#Common questions
Does the customer see my costs or margin? No. They never see buy prices, freight, markup or margin.
Does Quotes show up in To Get Done? Yes. Quotes that were sent with no answer show as a row to Follow up.
Can I get a deleted quote back? No. Deleting a quote is permanent; quotes do not go to the Graveyard.
