Sending a quote and the customer's response
Email a quote to your client, what they see and do on the online quote, how accept and decline reach you, and how to record an answer given by phone.
When a quote is ready, you email it to the client. They open an online quote, choose a quantity for each style, and accept or decline.
#Before you send
- The quote has a recipient Email (typed, or filled from a contact).
- It has at least one style.
- You have pressed Save details.
#Step by step
- Open the quote and choose Actions → Send to client. After the first send this reads Resend quote.
- Read the message that appears:
- "Quote emailed." means it went.
- "Marked as sent, but email was not sent: …" means nothing left. Use Copy quote link and send the link yourself.
The quote moves from Draft to Sent.
#What the client receives
An email titled "Your quote [number]" with a View, choose quantity & respond button. Their first open is logged as viewed in the quote's Activity.
Watch out
anyone with the link can respond. Share it only with the client.
#What the client does
Accept. They pick a quantity for each style and type their name. The quote becomes Accepted, quantities are locked and the total is recalculated. They get a thank-you email, and your team gets "Quote [number] ACCEPTED".
Decline. They can give a reason, and type their name. Your team gets "Quote [number] declined".
Accept and decline alerts go to your store contact email, set in Settings → General.
#Recording an answer given another way
If the client accepts or declines by phone or email, use Actions → Client's answer → Mark accepted or Mark declined. This works only on a Sent quote. It sends no emails, and for an acceptance the first quantity break of each style is used.
#Changing a quote after sending
Edit it and press Resend quote. The link stays the same, so the client sees the current version.
#Expired quotes
Once the Valid until date passes, the quote shows as Expired. The client can view it but can't respond. To revive it, change Valid until, press Save details and resend, or Duplicate it. Hide expired hides them from the list.
#Common questions
"Add a recipient email before sending." Fill in Email (or pick a contact), press Save details, then send.
The customer didn't get it. Check Activity to see whether the email went, and check the address. Then Copy quote link and send it directly.
The client accepted but now wants changes. An accepted quote is locked. Duplicate it, edit the copy and send that.
