Creating a quote

Build a quote for an existing customer or a new lead, set its validity, tax and terms, and add styles with quantity breaks and pricing.

3 min read

A quote is built from the client's details, a few settings, and one or more styles. Each style is a product with one or more quantity breaks, and the client chooses one quantity per style.

#Step by step

  1. Press New quote. A Draft with the next number opens.
  2. Customer & contact. Pick an Existing customer, or leave it blank for a new lead.
    • Picking a customer fills Company, sets Currency, and shows Send to contact, which fills Contact name and Email.
    • For a lead, type Contact name, Company, Email and Address. Email is required to send.
  3. Validity & pricing. Set Valid until, Tax % and the currency.
  4. Message, terms & notes.
    • Message to client appears at the top of their quote.
    • Terms.
    • Internal notes are for your team only.
  5. Press Save details.
  6. Go to Line items and press Add style for each product.
  7. Optionally add files, then send. See Sending a quote.

Watch out

changes to the client, dates and notes are saved only when you press Save details. If your edits disappeared, that is almost always why.

#Adding a style

Choose how to start:

  • Custom product — type the name and description yourself.
  • From database — search by code or description. This copies the name, description, image, details and pricing breaks. Edits you make stay on the quote and don't change the product.

Then fill in:

  • Product / style name, Description and Image — the client sees these.
  • Optional product details, used later by Build product.

#Pricing and freight

Each style has its own pricing settings:

  • The buy currency, and Manual FX (leave blank to use your saved rates).
  • Freight: None, Air or Sea. A per-unit freight figure comes from your freight tables by volume, or you can override it. Enter W / L / D cm for the volume.

The breaks table has one row per quantity break:

Column Meaning
Qty The quantity for this break.
Buy Your buy price.
Frt Freight per unit.
Markup The customer's markup tiers, or your defaults.
Rnd Rounds to the nearest 5 cents.
Sell The price the client sees.
Manual Set your own sell price.
Margin Your margin at this break.

Sell is worked out as (buy in your currency + freight) × markup, unless you set a Manual price.

Good to know

the client never sees buy, freight, markup or margin. They see only the style, its image and description, and the sell price at each break.

#Totals

The total is the subtotal plus tax. When a style has several breaks, the total shows the lowest it can be until the client chooses.

#Files for the client

Under Files for the client, press Upload file to add artwork or mockups. These appear as attachments on the online quote. The client can upload files too, until they respond; their uploads are marked as from the client.

#Common questions

Can I edit a style after sending? Yes, while the quote is Draft or Sent. Press Resend quote afterwards; the link stays the same.

Can I copy a quote for another client? Use Duplicate. It makes a new Draft with a new number and link, with the same client, settings and styles; change what you need.
