The order workspace

A tour of the full-screen order workspace, its header, the Order details tab, dates and urgency, delivery details and the Costs & margin tab.

3 min read

The order workspace is the full-screen view of one order. Open it by clicking an order number on Orders. The breadcrumb Orders or ✕ closes it, and ‹ › steps through the list.

#The header

The header shows the customer and order number, the order title (click to rename), a status pill, a "whose move" pill and a save indicator.

There is one main button, which depends on the stage:

  • An amber Manually Approve while the order is waiting on the customer. It pushes the order through without their sign-off, and their page closes.
  • A green ✓ Confirm Order once it is your move.

Everything else is under Actions: Send for Review & Confirmation / Re-send Review Request, Re-send confirmation email, Put on hold… / Release hold, Split order (A / B), Partial delivery (A1 / A2), Shipment split, Create in Shopify (if your account has it switched on) and Delete order.

Under the header is a coloured status bar and the Stage card (Show stages / Hide stages), then the tabs Order details, Products and, for admins with Financials access, Costs & margin.

#Order details tab

#Order details card

Customer, Contact (change), Customer PO #, Factory · PO, Designer, Status (manual), and the Show prices on the customer link switch.

#Dates

  • Order date.
  • Required by (customer) — when the customer needs it.
  • ETD (customer delivery) — the date you promise.

A timeline bar shows today, Factory finish, the due date and the ETD. Factory finish is the ETD minus the freight transit time, minus local delivery days when the goods come through your warehouse first. Direct-to-customer shipping skips the local leg. You can't pick a date earlier than is possible.

If a date falls in or near a holiday or factory closure, a warning appears. It is information only; no date moves.

#Urgent orders

When you change Required by or ETD, Flyte checks it against the standard lead time: the longest product lead time, plus freight transit, plus local delivery when the goods come via your warehouse. A date inside that makes the order URGENT; moving it back out clears the flag. You're asked to confirm whenever the flag is about to change. Urgent orders show a red note; confirm the date with the customer.

#Shipment & delivery details

  • Freight method — locked once the order is submitted.
  • Carrier and Tracking # — filled in when it ships.
  • Delivery address — Edit address, or Use [sub group] address where one is saved.

#Further down

  • Attachments — Upload or Add link.
  • Approvals & changes — the customer link and every customer decision. See Customer emails, approvals and the timeline.
  • Timeline — type in Add a note to the timeline… and press Add note.
  • Internal notes — click the pen to edit. Team only.

#Right-hand column

  • Customer emails — switch individual emails off for this order.
  • Reminders — up to 3 open reminders. See Calendar and reminders.
  • Customer messages — messages to the customer, files up to 5 MB. Locked until the order is confirmed.

#Costs & margin tab

Admins with Financials access see what the order made, excluding GST:

  • Revenue — the order summary: products, discount, shipping charged and total including GST.
  • Cost build-up — goods at the PO buy prices, the freight share, duties and fees, and landed cost.
  • Profit ex GST and Margin — the first estimate, the current figure and the actual.

Each figure says how final it is. Goods show Estimate · store FX until there is a PO, and are re-costed at the rate actually paid once the factory is paid. Freight shows Preview until it is spread on the shipment, then Paid and spread — exact. Check before you trust the margin lists any gaps, such as a product with no buy price. Links jump to the PO, shipment or payment.

Without Financials access, the order summary stays on the Order details tab instead.

#Common questions

I can't message the customer. Customer messages unlock when the order is confirmed.

Why can't I change the freight method? It locks once the order is submitted.

There's no Costs & margin tab. It needs Financials access.
