Creating a manual order
Start a draft order yourself, for example from a customer's emailed PO, and choose the contact who will receive every email about it.
A manual order is one your team creates directly, rather than one that came from an approved visual or the customer portal. The usual reason is a customer emailing you their purchase order.
#Step by step
- On Orders, press New order (or use New → New order in the top bar).
- Choose the Customer.
- Choose the Contact / user. This is required.
- Optionally enter a Display name for the order.
- Press Create Draft & Add Products →. The order workspace opens on a draft.
Then add the products. See Products and pricing on an order.
#Why the contact matters
Every customer email about the order goes to this person only. There is deliberately no fallback to the customer's account admin or to the email on the customer record.
- An order with no contact emails nobody. The order's details card says "Not assigned — order emails nobody".
- If the contact has their order emails switched off, they get none of them.
You can change the contact later from the Order details card (change).
Watch out
the account admin "manages the account". It does not mean they receive every order email. Pick the person who should hear about this order.
#For an emailed PO
If you are building the order from a customer's PO, you can save them retyping everything. Before you send it to them:
- Key in their Customer PO #, freight method, delivery address and Required by (customer) date in the Order details tab.
- Attach their PO under Attachments.
- If their PO includes a names and numbers list, key it in on the product. See Names & numbers, custom lines and samples.
- Send it with Send for Review & Confirmation. See Getting the customer to confirm an order.
#What happens next
The order stays a Draft until the customer confirms it. Nothing is bought and no factory sees it until then.
#Common questions
Can I order on a customer's behalf instead of them confirming? Yes. Manually Approve in the workspace pushes the order through without their sign-off. Their confirmation page then closes.
Can I merge two drafts for the same customer? Yes. Tick them on the Orders list and press Merge. The oldest keeps its number.
