Setting up your account, a checklist
The order to set up a new Flyte account in: company details, logo, brand colour, warehouse address, team, emails, factories, products and customers.
A new Flyte account works best when it is set up in a sensible order, because later steps rely on earlier ones. Customer emails need your logo and colour; purchase orders need your warehouse address and a factory with people to email; a customer needs products before their portal shows anything. Work down this list.
#1. Company information
Settings → General → Company
- Company name, Trading name, Phone, Website, and the Tagline shown on the login screen.
- Contact email — use an inbox someone actually reads. Quote accepted and declined alerts, factory change requests, customer change requests and factory replies on PO threads all go here.
Press Save company info.
#2. Logo and brand colour
Settings → General → Brand
- Logo — Upload logo. A PNG or SVG on a transparent background works best.
- Logo for dark backgrounds — optional white or light version for the dark menu. Leave blank to use the main logo.
- Brand colour — paints the banner behind your logo and the buttons on every email. Choose a dark colour, because button text is white.
- Currency — your business currency.
Check How it will look for a live preview of an email.
#3. Addresses
Settings → General → Addresses
- Business address.
- Warehouse / delivery address — where factories send goods by default. It prints in the Deliver To block on every PO.
#4. Your team
Settings → Team & access
- Add each person with Add a team member, tick the sections they need, and send the invite. See Adding and managing team members.
- Mark your designers with Designer, so they appear in the designer list and are emailed when customers respond.
- Tick each person's Team emails (all start off). If nobody ticks New enquiries or New purchase orders, nobody is emailed about them.
#5. Emails and reminders
Settings → Emails & reminders
- Press Send test email to check sending works.
- Decide whether to switch on Follow-up reminders for order confirmation, artwork approval and panel print approval. They are off until you switch them on and save.
- Optionally adjust the wording of the editable email templates.
#6. Catalogue settings
- Settings → Product attributes — your styles, categories, techniques, colours, necklines and genders, plus the PO and default product code prefixes.
- Settings → Size groups & detailings — the size groups your products are ordered in. Give every group a unique name.
- Settings → Pricing & FX — default mark-up tiers and exchange rates.
- Settings → Shipping & freight — carriers, a freight table per method (for example Air and Sea) with a default, and local delivery days.
#7. Factories
Factories
- Create each factory with a code and name.
- Add the people who should receive POs, with factory emails on. A factory with no notification users receives nothing when you submit a PO.
- Invite them to the factory portal if they'll use it.
#8. Products
Products
- Add base products with a factory, lead time, MOQ, size group and buy prices. A product with no buy price produces $0.00 PO lines.
#9. Customers
Customers
- Create each customer and agree their customer code first. It becomes part of every product code.
- Add addresses, people, sub groups, and assign people to sub groups.
- Give them catalogue products, then invite them.
See Creating a customer for the full order of work.
#10. Check the result
- Use View as Customer to see the portal as one of their people would.
- Send yourself a test of an email template to see your branding in place.
#Common questions
My logo or colour isn't showing. Press Save company info; it shows on the next page load. If a customer's emails look different, they have their own logo or colour on their record, which wins on emails about them.
Which integrations should I set up? Look at Settings → Integrations. Some are switched on by your platform support team and show Managed by your provider or Contact your provider to connect.
