A tour of the team portal
Find your way around the team portal: the Dashboard, the sidebar, the top bar, search, Messages, notifications and the New menu.
The team portal is where your staff run the business. This article walks through what is on every page, so you know where to look before you need it.
#The sidebar
The sidebar down the left is the main menu. Depending on the sections you have been given, it includes:
| Area | What it's for |
|---|---|
| Dashboard | Your landing page: what's waiting, headline numbers and the production pipeline |
| To Get Done | One list of everything waiting on your team |
| Visuals | Enquiries and designs, from first enquiry to customer approval |
| Quotes | Priced quotes the customer accepts or declines online |
| Orders | Every customer order, from draft to delivered |
| Purchase Orders | What you send a factory to make |
| Approvals | Everything a factory asks you to decide: product changes, price changes, payment requests, production photos |
| Products | Base, customer and stock products, with pricing and sizes |
| Customers | Customer companies, their people, sub groups and detailings |
| Factories | The factories you buy from and the people who receive POs |
| Freight | Shipments, landing costs and what's ready to ship |
| Calendar | Your entries, the team's, factory closures and every order's delivery date |
| View as Customer | See the customer portal exactly as one of their people sees it |
| Settings | Company details, team, emails, sizes, pricing and integrations |
Some areas, such as Payments, Financials and leads, appear only for people who have those sections.
Small badges beside To Get Done, Visuals, Orders, Purchase Orders and Approvals show how many items need attention.
At the bottom of the sidebar, Help has two links that open in a new tab: Team Guide, the end-to-end guide for your staff, and What Customers See, the guide your customers read. Getting Started, under your name, replays the first-login tour.
#The top bar
The top bar is the same on every page.
- Search (press ⌘K on a Mac or Ctrl+K on Windows) jumps straight to an order, PO, customer, product, visual or factory by its number, name or code.
- Messages opens the messenger over whatever page you're on. Its tabs split conversations into All, Orders & POs, Team, Support and Requests. A red number shows how many are unread.
- The Notifications bell shows a red count of new events. Opening it lists recent ones and marks them read. Clicking a notification opens the visual, order, PO, calendar entry or support reply it is about.
- The New menu starts the common jobs: New order, New visual, New product, Create PO, New customer, New quote and New team message.
- A red Reminders pill appears while one of your reminders is due.
#The Dashboard
The Dashboard is the first page after sign-in. Almost everything on it clicks through to a list that is already filtered.
- Headline cards — Visuals with customers (sent and waiting, with how many have waited over 5 days), Orders to check (confirmed by the customer and now your move), POs past due and Unread messages. You only see cards for pages you can open.
- At a glance — totals for Active Orders, Products, Open POs, B2B Customers and Factories.
- Production pipeline — open POs as a coloured bar by stage, plus how many are on hold. Click a stage to open those POs.
- To get done and Factory messages — the top waiting items and the latest factory conversations.
- Orders In Production — up to 10 orders not yet shipping.
- Quick actions — shortcuts to Add Product, Purchase Orders, Customers and Settings.
Good to know
Active Orders counts every order that hasn't been deleted, including finished and closed ones. It's a total, not "work in progress". Use the stage counters on the Orders page, or Hide Completed, to see live work. Open POs counts only Draft and Submitted POs.
#Workspaces
Orders, visuals and customers open as full-page workspaces rather than side panels. A breadcrumb at the top takes you back to the list, and ‹ › steps to the previous or next record without going back. Each record has its own link you can share with a colleague.
#Common questions
A card or menu item is missing. You don't have access to that section. An owner or someone who can manage the team can tick it in Settings → Team & access.
A number on the Dashboard didn't change. Counts refresh shortly after a change. Reload the page if needed.
Clicking a notification opened nothing. The item was deleted or isn't in your view.
Does a message to a customer send them an email? No. Customers see order messages in their portal Messages and in their bell.
