Setting up a factory

Add a factory record, choose its currency, add the people who receive purchase orders, and build its fabric library.

3 min read

A factory in Flyte is a supplier you raise purchase orders against. One PO always goes to one factory. Products are assigned to a factory, and its people and fabric library live on its record. Setting a factory up properly is what makes your POs reach the right people at the right prices.

#When you'd do this

  • You have started working with a new supplier.
  • You want to move products to a different factory.
  • A factory's contacts, address or currency have changed.

#Step by step: add or edit a factory

  1. Go to Factories and press Add factory, or open an existing factory and choose Actions → Edit company details.
  2. Under Factory, enter:
    • Code and Name (both required; the code must be unique),
    • Location,
    • Default currency — the currency its POs are raised in. Products at this factory have their buy currency locked to it.
  3. Under Contact, enter:
    • Account manager — who owns the relationship on your team,
    • Contact email and WeChat,
    • Address — the location and address print on the PO.
  4. Save.
  5. Add the people who should receive POs on People & logins.
  6. Add fabrics on Fabrics.

Good to know

Lead time and MOQ are set on each product, not on the factory. Buy prices also live on the products, as tiers. A factory whose products have no buy price produces $0.00 PO lines.

#Adding people

People are who Flyte emails about your POs. The contact email on the factory record is for reference only; it does not receive PO emails.

  1. Open the factory and go to People & logins.
  2. Press Add a person, or type a Name and email inline and press Add user.
  3. In the drawer, fill in Full name and Email.
  4. Optionally tick Invite them to the factory portal now.
  5. Under Role & access, set:
    • Primary person — one per factory. They manage the factory's own team in the factory portal.
    • Factory emails — this person receives factory notification emails.
    • Portal access — whether they can log in.

The table shows Person, Portal login, Primary, Notify and Access. Each row's ⋯ menu offers Edit, Invite to factory portal (or Resend portal invite / Send password link), Make primary, Turn factory emails off/on, Disable portal access / Enable portal access, and Delete.

Watch out

A factory with no people, or with everyone's factory emails switched off, receives nothing when you submit a PO.

#What emails the factory gets

People with factory emails on receive:

  • a new PO submitted,
  • a PO cancelled or deleted,
  • your approve or reject decision on their requests.

Every factory email is bilingual: English first, Chinese below. People who switched on message reminders in their portal are also emailed when you reply on a PO.

#Building the fabric library

  1. Open the factory and go to Fabrics.
  2. Press Add fabric.
  3. Enter Code, Weight (for example 160gsm), Type, Composition and Uses, with an optional image.
  4. Save.

Products at this factory choose their fabrics from this library. Editing a fabric's code, weight or type updates every product using it, and you see the count first.

#The Factories list and workspace

The Factories list shows tiles for Active factories, Open POs, Overdue POs and Linked to the platform, with tabs All, On the platform, Has portal login, Not linked and Inactive. Click a row to open the full-page factory workspace, with tabs including Overview, Company details, People & logins, Products, Fabrics and Purchase orders.

#What happens next

Assign products to the factory (Details → Production → Factory on each product), then invite its people to the factory portal so they can work your POs online. See Inviting a factory to the factory portal.

#Common questions

The factory says it never got the PO email. Check who has Factory emails on under People & logins, and check their addresses.

A product shows the wrong buy currency. It follows the factory's Default currency.

Someone at the factory has left. Disable portal access or Delete them, and make someone else primary if needed.
