Creating purchase orders from orders
Turn confirmed customer orders into draft purchase orders, grouped by factory, with buy prices and ETDs filled in.
A purchase order (PO) is what you send a factory to make goods. One PO goes to one factory. It can cover several customer orders, and one order can be spread across several POs when its products come from different factories. PO prices are buy prices, in the factory's currency.
#When you'd do this
When a customer order has been confirmed and checked, it is ready for production. A confirmed order with no PO sits at Scheduling until you raise one.
#Step by step
- Go to Orders.
- Tick the orders you want to put on POs.
- Press Create PO from selected.
- Review the preview. Items are grouped by each product's factory, with buy prices taken from the product's tiers. Untick anything you do not want to PO yet.
- Check each Factory ETD (estimated time of departure). It is pre-filled as the order's delivery date minus the freight method's transit buffer, and minus the local delivery days when the goods come through your warehouse.
- Deal with any Custom / unmatched items (lines that match no product). For each, choose a Size group (default Uni) and which factory's PO it goes on.
- Press Create POs.
The new POs are created as Draft. The factory cannot see a draft. Orders that span factories are split to follow each PO.
#What gets refused
| Situation | Why |
|---|---|
| Draft orders | The order must be confirmed first. |
| Orders already on a PO | They are already in production planning. |
| Orders with mixed freight methods | A PO's goods travel one way, sea or air. |
#Where the prices come from
Buy prices are worked out by Flyte from the product's tiers, using the quantity for each style and falling back to the base product's pricing where needed. A price shown on screen is only a starting point and is re-checked.
Watch out
A line at $0.00 means no tier on the product or its base has a buy price at that quantity. It is a product setup gap, not a fault. Add a buy price on the product, then correct the line in Edit PO.
Custom and unmatched items always come in at $0.00. Price them on the PO afterwards.
#Pre-production samples (PPS)
If an order is flagged as needing a pre-production sample, its PO opens in the sample stage, with a sample line per product. Bulk production waits until the customer approves the sample. See Production photos and pre-production samples.
#What happens next
- Open each draft PO and check its lines, prices, ETD and Deliver to address.
- Submit it to the factory. See Submitting a purchase order.
#Common questions
Why can't I put an order on a PO? It is still a Draft, it is already on a PO, or it has a different freight method from the others you ticked.
Why are there two POs for one order? Its products are made by different factories. One PO goes to each.
Can I add more to a PO later? Yes. Use Edit PO and + From order or + From database. See Editing a PO and adding custom lines.
