Garment Works perpetual POs

If your account has Garment Works switched on, how POs are added to a factory's ongoing Garment Works purchase order and what to do when resubmitting.

3 min read

This article only applies if your account has Garment Works switched on. If it does not, your POs work as described in Submitting a purchase order and you can skip this page.

Garment Works keeps one running ("perpetual") purchase order per factory, which is never closed or replaced. Every Flyte PO for that factory adds its lines to it. When goods ship, what shipped moves onto a new shipment PO in Garment Works, and whatever did not ship stays on the perpetual PO.

#Setting it up

Record the perpetual PO once, on the factory:

  1. Go to Factories and open the factory.
  2. Fill in Garment Works supplier ID if it is not already there.
  3. Fill in Garment Works perpetual PO: P followed by the supplier ID, copied from Garment Works. It cannot be looked up from Flyte.
  4. Save.

The perpetual PO must belong to this factory's supplier, or submissions are refused.

#What happens when you submit

From then on, Submit to Factory, Resubmit to Factory and ✉ Email factory all add the PO's lines to the perpetual PO automatically. There is nothing to type on the PO.

  • The PO keeps its own Flyte number. The Garment Works PO number it was added to shows on the PO's edit screen.
  • A factory with no perpetual PO recorded works as before: each PO raises its own new PO in Garment Works and takes that number.
  • If Garment Works does not accept the lines, submission fails outright and the PO stays in Draft. Nothing is emailed to the factory.

#Sending one PO somewhere else

The PO's edit screen has Add to an existing Garment Works PO. Left blank, it tells you which perpetual PO the lines will go to. Type a different Garment Works PO number only to send this one PO elsewhere. The target must belong to the same supplier; if it does not, the submit is refused and the PO stays in Draft.

Once the lines are in Garment Works, this field is replaced by a note saying where they went. They cannot be moved or re-sent from Flyte: resending would put them on the PO twice, and updating would affect the other orders sharing it.

Good to know

Editing a PO's lines in Flyte after it is submitted does not change Garment Works, for any PO.

#Resubmitting after a change request

Because one PO's lines share the perpetual PO with others, Flyte never rewrites them. Resubmit to Factory first checks that Garment Works still holds exactly this PO's lines:

What changed What happens
Nothing on the lines (only a date or a note) It resubmits straight away. Nothing is sent to Garment Works.
You added a product the PO did not have The new product is added to the perpetual PO automatically, then it resubmits.
You changed a quantity, size or cost, or removed a product It is refused and the PO stays Not Approved. The message lists every difference.

To fix a refusal, make the same changes to this PO's lines on the perpetual PO in Garment Works (edit the existing lines; do not delete and re-add them), then press Resubmit to Factory again. Or undo the change in Flyte. The Garment Works Sync Log entry for the refusal names which lines on the perpetual PO belong to this PO.

#Products need a size group

A product with no valid size group cannot be registered in Garment Works, and it carries a red "not registerable" badge on Products. Submitting a PO containing one is refused for the whole PO: it stays in Draft and nothing is emailed or created. Give the product, or its base, a size group defined in Settings. The Garment Works Sync Log (also reachable from the PO with the GW Log button) names the product.

#Common questions

The PO number did not change to a Garment Works number. That is expected when a perpetual PO is recorded. The PO keeps its Flyte number.

Resubmit was refused with a list of differences. Make those changes on the perpetual PO in Garment Works, or undo them in Flyte, then resubmit.

Submit was refused about another supplier. The Garment Works PO number belongs to a different supplier. Check the factory's perpetual PO and the override field.
