Editing a PO and adding custom lines

Change quantities and prices on a purchase order, add products or one-off charges as custom lines, and record freight costs.

3 min read

Purchase orders often need adjusting: a quantity changes, a product is added, or the factory charges a setup fee. You make all of these from Edit PO.

#Step by step: edit a PO

  1. Open the PO.
  2. Choose Actions → Edit PO, or Edit line items on the Products tab.
  3. In the size grid, change quantities or buy prices, or remove lines.
  4. Add lines with:
    • + From database — a product from your catalogue,
    • + From order — lines from a customer order,
    • + Custom — a one-off line (see below).
  5. Press Save changes, or Cancel to discard.

If the PO has already been submitted, press Resubmit to Factory afterwards so the factory gets the updated PO.

Good to know

A PO's prices are agreed once the factory starts production. Changing a quantity on a PO already in production keeps its unit prices, even if the new quantity would reach a different price break.

#Custom lines

A custom line is anything that is not a product in your catalogue: a setup cost, a design fee, a rush fee, a sample, a woven label or a credit.

#Step by step

  1. In Edit PO, press + Custom ("Add a custom line").
  2. Under What is it, choose:
    • Charge or fee — no freight applies, or
    • Goods — freight applies.
  3. Enter Code / SKU and Description.
  4. Choose a Size group:
    • Uni for one-off charges (a single quantity box),
    • a real size group if the line genuinely is a run of garments (you get a size grid, one quantity per size).
  5. Enter the quantity and price.
  6. On a PO with several orders, choose which order it Applies to.
  7. Optionally add an Image.
  8. Press Add line.

Watch out

Do not type real products in as custom lines. Use + From database so the line carries the product's spec, artwork and prices.

#Custom lines from the factory

A factory can propose a custom line from its portal, for example an extra charge. It arrives on Approvals and is added to the PO only when you approve it. Factory proposals are limited to single-size groups, because they carry one quantity and one price. If a factory needs a size run added, add it to the PO yourself.

#Freight cost on the PO

Under Shipment & delivery details:

  • Shipping required — switch off for a PO with nothing to ship. It is then left out of Freight and closes on payment alone.
  • Factory paid freight? — choose Yes, on factory invoice and enter the amount, or No, paid separately.
  • Press Save freight.

Freight the factory invoices is already in the PO total, so it is not added again as a landed cost.

#Charges never wait for shipping

Charge and fee lines do not need freight, so they never appear on Ready to ship. A PO made only of charges never gets stuck waiting to depart.

#Common questions

A line is $0.00. No buy price on the product or its base at that quantity. Type the price in Edit PO, and add a buy price to the product so it is right next time. Custom and unmatched lines always start at $0.00.

Should a design fee use Uni or OSO? Uni. OSO is for real garments that come in one size.

I edited the PO. Does the factory see it? Resubmit it so the factory's copy updates.
