Holds and splitting a PO
Pause work on all or part of a purchase order, release it again, and split a PO into two so parts can move separately.
Sometimes production needs to stop: a deposit has not arrived, a customer is undecided, or there is a quality problem. A hold tells the factory to stop making some or all of a PO. A split divides one PO into two, so part of it can move on while the rest waits.
#Putting a PO on hold
- Open the PO.
- Choose Actions → Put on hold….
- Pick a reason: Unpaid deposit, Commercial dispute, Customer decision, Quality issue or Other.
- Add a note.
- Confirm.
What happens:
- The PO becomes On Hold (all lines) or Partial On Hold (some lines).
- Its orders become On Hold or Partial On Hold.
- Held lines leave Ready to ship, so they cannot be shipped by accident.
- The factory sees "On hold by the merchant" and, for a partial hold, a red banner listing the products not to produce.
#Releasing a hold
Choose Release hold on the PO. Everything goes back exactly to where it was before the hold.
Good to know
If the factory placed the hold, only they can release it. Ask them in the PO's messages.
#The factory can place holds too
Factories can put a PO on hold from their portal, with the same list of reasons. You are told, and the PO shows the hold. You cannot release a factory's hold.
#Holds for unpaid deposits
If your account has invoicing switched on, an order On Hold with the reason Unpaid deposit blocks Submit to Factory on any PO it is on. Once the deposit arrives, open the order, press Release hold, and then submit the PO.
#Splitting a PO
Use a split when part of a PO needs to ship or be handled separately.
- Open the PO.
- Choose Actions → Shipment split.
- Pick the lines and quantities that should move to the second PO.
- Confirm.
Orders spread across both parts are split to match.
Tip
You do not always need to split by hand. Taking only part of a PO onto a shipment on Freight splits it automatically.
#Common questions
Does a hold change the ETD? No. The factory can save a new ETD if the hold delays them.
Why did my held lines disappear from Ready to ship? Held lines are taken out so they cannot be shipped. They return when the hold is released.
