Factory change requests and price proposals
Handle a factory asking for changes to a PO, proposing new buy prices, or asking to add a custom line, and see what each decision does.
Factories cannot change your products or POs directly. They propose, and you decide. Proposals arrive on Approvals (the sidebar badge shows how many are waiting) and the factory is emailed your decision.
#The kinds of request
| Request | What the factory wants | Where you act |
|---|---|---|
| PO change request | Changes to the PO before they accept it. | On the PO: edit and resubmit. |
| Product update | New details on a product, such as MOQ, lead time, sizes or buy price breaks. | Approvals. |
| Line price change | A different price on one style or extra line of one PO. | Approvals. |
| PO custom line item | An extra charge on a PO, such as a setup cost. | Approvals. |
#Handling a change request
When the factory presses Request changes:
- The PO moves to Not Approved.
- Their reason appears in Factory messages and on Approvals.
- The linked orders stay at Submitted, because the order is fine and the PO is what needs fixing.
#Step by step
- Read the reason in Factory messages.
- Choose Actions → Edit PO and make the changes.
- Press Save changes.
- Press Resubmit to Factory.
Resubmitting closes the request, returns the PO to Submitted, and refreshes the as-sent spec. The change request only closes when you resubmit.
#Handling a price proposal on a product
The factory can propose new buy prices on a product. When you approve:
- Flyte lists the open POs (Draft, Submitted or Not Approved) carrying that product, with each line's old and new price, all ticked.
- Untick any PO that should keep its current price.
- Ticked POs are re-priced on their own quantities, their totals recalculated, the change noted on each PO's timeline, and the PO re-sent to the factory.
Only buy prices are taken from a factory proposal. Your sell prices and mark-ups are kept, so check whether your customer prices need updating on Products.
POs already in production never change price.
#Handling a price proposal on one PO
A factory can propose a price on one style or one extra line of a single PO, such as a surcharge, while that PO has not started production. It shows on Approvals as a Line price change with the PO, the line, and the current and proposed prices. Approving it changes only those lines on that PO and recalculates totals.
#Proposals hold up production
While a price proposal on the PO or one of its products is waiting, the PO cannot go into production. The factory's Accept is held, you cannot set it by hand, and it is listed under To get done. Approve or reject to release it. A rejection keeps the current price.
#Custom line proposals
A factory can ask to add an extra charge with a description, quantity and unit price. Approving adds it to the PO as a custom line. If the factory's size group is not set up in your account, it goes under the default one-size group with a note. Proposals cannot be edited: reject with a reason, or approve and adjust the PO afterwards.
#Deciding
Open the row on Approvals to see each Field, its Current and Proposed value, and the factory's Reason. Press Approve (and confirm) or Reject (with an optional reason, which is kept). The factory is emailed and sees the decision in its portal, and its copy of the PO updates. Each item is decided once; a colleague opening it afterwards sees it has already been actioned.
#Common questions
The factory changed a price, but our sell price did not move. Only buy prices update. Re-price on Products if needed.
A change request is still pending. It only closes when you resubmit the PO.
Can I undo an approval? No. Edit the product or PO back and tell the factory.
I rejected something by mistake. Ask the factory to resubmit, or make the change yourself.
