PO change requests
What happens when a factory asks for changes to a purchase order before accepting it, and how to fix and resubmit the PO.
When a factory receives a PO, it can accept it or ask for changes. A change request means the factory isn't ready to start: perhaps a quantity, a date or a detail needs fixing. Until you resubmit the PO, the work waits.
#What happens when a factory requests changes
- The PO moves to Not Approved.
- The factory's reason is posted in the PO's factory messages.
- A PO change request appears in Approvals.
- Linked orders stay at Submitted. The order isn't wrong; the PO is.
#Step by step
- In Approvals, open the change request and press Review on PO.
- Read the factory's reason in the PO's factory messages.
- Make the changes on the PO.
- Press Resubmit to Factory.
Resubmitting closes the change request and returns the PO to Submitted, so the factory can accept it.
Good to know
a PO change request is handled on the PO itself, with Review on PO. It closes only when you resubmit the PO.
#What the factory sees
The factory gets the updated PO back at Submitted, ready to accept or request changes again. While it is Not Approved, there is nothing for the factory to do but wait for your updated PO.
#Common questions
The change request is still pending. It closes only when you resubmit the PO.
Why are my orders still at Submitted? That's expected while the PO is Not Approved.
Can I reply to the factory first? Yes. Use the PO's factory messages; the factory's reason is already there.
