Pricing tiers: buy and sell prices

How quantity-break tiers work, the difference between buy and sell prices, how the sell price is calculated, and how to lock prices.

4 min read

Every product's pricing is a set of tiers, which are quantity breaks. Each tier carries two separate prices: what you pay the factory and what your customer pays you. Understanding the two keeps your purchase orders and your customer prices right.

#Buy price and sell price

Price What it is Currency Used by
Buy What you pay the factory. The factory's currency. Purchase orders.
Sell What the customer pays. Your store currency. Orders, quotes and the customer portal.

The sell price is calculated from the buy price, unless you type a Manual price, which always wins.

The two are independent. A product can have a sell price but no buy price, or the other way round.

Watch out

If a product has a sell price but no buy price on any tier (and neither does its base), its purchase order lines come out at $0.00. Sell prices do not count for POs.

#How the sell price is calculated

Sell = (Buy ÷ FX + Branding ÷ branding FX + Freight) × Markup

  • Buy currency is locked to the factory's currency when a factory is set.
  • FX comes from Settings → Pricing & FX → Exchange rates, unless Manual FX override is filled in on the product. Leave it blank to use the default. The live-rate chips above the table are for reference only.
  • Branding is an optional per-unit cost for each tier, in its own Branding currency, using the Separate branding toggle.
  • Freight is a per-unit cost worked out from the product's folded size against each freight table in Settings → Shipping & freight. It is charged on volume, not weight. You can also set a Freight override per unit, or No freight.
  • Markup is chosen per tier from your mark-up codes, for example A = 60%, which multiplies by 1.6.
  • Margin shows the profit percentage after buy, branding and freight.

Round sell prices is on by default. Prices for the product's own freight table round to the nearest 5c; other tables round to the whole dollar. Manual prices are never rounded.

#The Pricing tab

The table has one row per tier:

  • Tier / Min qty on the left.
  • A Cost band shared by every freight method: Buy, Branding, Markup and Cost NZD.
  • A column group for each freight table (for example sea and air) with Freight, Sell, Manual and Margin. All methods sit side by side, and each keeps its own manual prices.

Rules worth knowing:

  • You can have up to 8 tiers. Use Add tier (max 8).
  • Tier 1's Min qty is the MOQ. If there is no MOQ, the tab says "Set the MOQ to add prices".
  • The price used is the tier with the highest Min qty that the quantity reaches.
  • The quantity is the total for that style across all sizes, not per size. Ten small and ten medium count as 20.
  • One tier is a valid price. You do not need quantity breaks.
  • A tier with no price is skipped, not treated as $0.

#How to price a new product

  1. Open the product and go to Pricing.
  2. Check the Buy currency, and check the folded size is filled in on Details so freight can be worked out.
  3. On tier 1, enter Min qty, Buy, Branding (if any) and Markup.
  4. Press Add tier for each further quantity break.
  5. Check the Sell and Margin for each freight method. Type a Manual price where you want a fixed figure.
  6. Press Save changes.

#Locking prices

Lock prices copies the calculated sell prices into the Manual column, so they no longer move when exchange rates, freight or markups change. A Pricing is locked banner then guards against accidental edits. Press Unlock when you need to edit.

Tip

Lock prices once you have agreed them with a customer, so a later exchange-rate update does not change what they are quoted.

#Exchange rates do not drift on their own

Sell prices use the Manual rate stored in Settings → Pricing & FX → Exchange rates. Live rates are shown for reference, and nothing changes until someone applies them. See Mark-ups and exchange rates.

#Common questions

Why is a PO line $0.00? No tier on the product or its base has a Buy price at that quantity. Add one, then fix the PO line in Edit PO.

Why is the customer's price not what I expected? Check, in order: a Manual price for that freight method; whether pricing is linked to the base; the tier's Markup and the customer's own mark-ups; and which tier the style total falls in.

Why can't I add a ninth tier? Eight is the maximum.

Why can't I edit pricing? Either it is linked to the base (use Use Custom Pricing) or Pricing is locked (press Unlock).

Why can't I change the buy currency? It is set by the product's factory.
