Adding a base product

Set up a new blank garment with its factory, sizes, folded size and buy prices so it can be ordered and sent to a factory.

3 min read

A base product is the blank garment as your factory makes it, with no customer attached. Set one up for each style in your range, then make customer products from it. Getting the base right matters, because its sizes, size chart and (while linked) pricing flow to every customer product made from it.

#When you'd do this

  • You are adding a new style to your range.
  • A factory has started making something new for you.
  • You want customers to be able to browse a blank in their Base Products catalogue.

#Before you start

Have these ready:

  • The factory that makes it, already set up on Factories. See Setting up a factory.
  • A size group for it in Settings → Size groups & detailings. See Size groups and size charts.
  • Its buy prices from the factory, and any quantity breaks.
  • Its folded size in cm, for freight.

#Step by step

  1. On Products, press Add product.
  2. Set Owner to base product (no customer).
  3. Enter the Product code and Description. Both are required. Type the full code.
  4. Fill in Style, Category, Factory, Technique, Colours and the rest of the classification. Remember the factory sees Style but not Category.
  5. Under Production, enter the MOQ and Lead time (days). Lead time is required on a new product.
  6. Fill in Size when folded & freight: width, length and depth.
  7. Choose the Catalogue visibility: public to every customer, or private to the customers you allow. See Catalogue visibility, status and deleting.
  8. On Pricing, add at least one tier with a Buy price, or switch on Price on enquiry.
  9. On Sizes, pick the Size group. This is the list of sizes the product can be ordered in.
  10. Press Save changes.
  11. Then add photos on Files, fabrics under Production, and any notes.

#Why each of these matters

  • Factory decides which factory's PO the product lands on, locks the buy currency to that factory's currency, and limits fabrics to that factory's library.
  • Lead time feeds the earliest standard delivery date your customer is offered, and so what counts as an urgent order.
  • MOQ is the minimum quantity, and it is also tier 1's minimum quantity on the Pricing tab. You cannot add prices until it is set.
  • Folded size is how freight is charged in the sell price (by volume, not weight) and how shipment costs are spread.
  • Buy price is what purchase orders use. A product with no buy price on any tier produces $0.00 PO lines.
  • Size group controls what sizes appear on order forms and PO grids.

Tip

Set the product to Draft while you are still setting it up. Draft products are visible to admins only, so customers will not see a half-finished product. Restore it to Active when it is ready.

#Adding fabrics

Under Production, press Add a fabric and choose From catalogue (the factory's fabric library) or Custom fabric, plus what it is Used for (for example body or trim). See Product attributes and fabrics.

#Duplicating instead of starting from scratch

If the new product is close to an existing one, use Duplicate from the ⋯ menu or Actions. It opens an unsaved copy with the code, factory reference, similar design and files cleared. Any base link is kept, and you can change the Owner. Give it a new code and press Save changes.

#What happens next

Once saved and active, the base product can be:

  • made into customer products with + Customer variant,
  • seen by customers in their Base Products catalogue (if visibility allows),
  • added to orders, quotes and visuals,
  • sent to its factory on purchase orders.

#Common questions

Can I save a product without a lead time? Not a new one. An existing product without one still saves, and a customer product can inherit the lead time from its base.

Why does the buy currency field not change? It is locked to the factory's Default currency once a factory is set.

Why can't I add prices? Set the MOQ first. Tier 1's minimum quantity is the MOQ.
