Sub groups and the logo library
Create sub groups for each club, school or team under a customer, assign people to them, and build a reusable logo library.
A sub group is a team, club, school or department under a customer. A uniform supplier might have one sub group per club it supplies. Sub groups carry their own delivery address, logo, colours and logo library, and, importantly, they decide what each person at the customer can see in the portal.
#Step by step: create a sub group
- Open the customer and go to the Sub groups tab.
- Enter a Code (up to 4 characters; it becomes part of the product code) and a name.
- Press Add sub group.
- Press ✎ on its card to open the drawer, and fill in:
- Name and Logo;
- Assigned users — the people at the customer who belong to this group;
- Delivery address — offered at order confirmation;
- Colours (+ Add colour) — offered when designing products for the group;
- Logos — the group's logo library.
- Press Save group. Delete group removes it.
#Assigning people controls what they see
This is the most-missed step in customer setup, and it is not cosmetic.
| In the portal | A person sees |
|---|---|
| Customer products | Products for the sub groups they're assigned to, plus any product with no sub group |
| Visual jobs | Jobs that touch a sub group they're in (on the job or any of its products), plus any they're the contact on |
| Orders and shipments | Orders where they are the order's contact |
The account admin sees everything regardless.
Watch out
Someone assigned to no sub group sees only the enquiries they raised themselves, the orders they're the contact on and products with no sub group. When a customer says "I can't see it", check their sub groups first.
You can assign people from either side: tick Sub groups on the person, or tick Assigned users in the group's drawer.
#The logo library
Saving logos to a sub group's library means the next job for that club starts with its approved logos ready to place.
- On a logo card (on a product's Artwork tab, or on an enquiry line in the visual workspace), press ☆ Save to library. ☆ Save all to library saves every placement at once.
- Next time, press 📁 Add from library on the product or enquiry line, tick the logos and press Add. They go on as extra placements and replace nothing.
A saved logo shows ✓ In library and can't be saved twice.
#Copied, not linked
A logo on a product is the customer's approved artwork for that job, so editing a library logo doesn't change products already using it. When a library logo's image or colours change, the group's Logos list offers Update N… so you can tick which placements to bring up to date. Approved and already-ordered work is never offered.
If you end up with two logos that look the same, Retire the duplicate in the group's Logos list. Retired logos leave the pickers but keep their history; Un-retire brings one back.
#What the customer sees
Customers can see their sub groups' logos in the portal but can't add to the library. The account admin manages sub groups from My groups in their portal, where they can Add sub group and see each group's name, logo, assigned users, delivery address and colours. Logos you hold on file are view-only for them ("Ask us to add or change one").
#Common questions
A customer can't see a product we made for them. Check which sub group the product belongs to, and whether the person is assigned to it. Confirm with View as customer.
Can the same person be in several sub groups? Yes. Tick every group they belong to.
Why didn't changing a library logo update the products? By design. Use Update N… to choose which placements to bring up to date.
