Editing email wording

Change the wording of the editable customer, factory and team emails, use placeholders safely, send a test, and revert to the default.

2 min read

You can reword many of the emails Flyte sends, so they sound like your business. Your logo, colours, header and footer are added automatically; you change only the subject and body.

#Where to find it

Settings → Emails & reminders → Email templates. Templates are shown as cards in three groups, Customers, Factories and Your team. Each card says who receives the email and when it's sent, with a pill:

Pill Meaning
Default Using the built-in wording
Customised Your own wording is saved
Unsaved You've made changes you haven't saved yet

#Which emails can be edited

Customers: Enquiry received, Order confirmed, Requested date cannot be met, Confirm your order — reminder, Review & confirm your order (and its reminder), Visual ready to review, Visual waiting — reminder, Artwork ready to review, Job sheet for approval, Production samples ready, Pre-production sample ready, Order has left the factory, Updated artwork ready — review & confirm.

Factories and your team: PO Submitted, Approval Request, Change Approved, Change Rejected, Factory Message.

Emails not listed have fixed wording.

#Step by step

  1. Click a template card (Edit). An editor opens with a live preview beside it. Switch to HTML if you need to.
  2. Edit the subject and body.
  3. Use placeholders for details that change per email. They show as grey chips, for example {{order_ref}} or the email's buttons. Click one in the list to drop it in at the cursor.
  4. Press Save.
  5. Press Send test to mail yourself a copy filled with sample data.

#Placeholders can't be deleted

Placeholders are filled in when the email sends, and the buttons are how the recipient reaches the right page. A save that would lose one is refused, because a missing link is a dead button.

#Keep factory emails in both languages

Factory emails are sent in English and Chinese, because email has no language switch. If you edit a factory template, keep both languages.

#Reverting

Press Revert to default to restore the built-in wording.

Watch out

A customised template keeps your wording for good. Later improvements to the default wording won't reach it until you revert. If a template looks out of date compared with others, check whether it's Customised.

#What editing doesn't change

Editing a template changes only the wording. Who receives the email, when it's sent, and the order's own Customer emails switches all work exactly as before.

#Common questions

My save was refused. You removed a placeholder. Put it back, or click it in the list to re-insert it.

Can I edit an email that isn't listed? No. Emails not listed have fixed wording.

Can I change the logo or footer in a template? No. The header, logo and footer are added automatically from Settings → General.
