What's changed in your customer portal

Your supplier's customer portal has a new look and some new features. Here is what you'll notice, and where things have moved.

The customer portal you use to order from your supplier has been redesigned. This page is written for you, the customer. It explains what looks different, what is new, and where to find things.

Nothing about your account has changed. You sign in with the same email and password, your orders, products and enquiries are all still there, and every link your supplier has already emailed you still works. The portal still carries your supplier's name, logo and colours. You may notice a small "Powered by Flyte" line at the very bottom of some pages and emails. Flyte is the system your supplier uses behind the scenes.

#Who sees what has changed

This is the change most likely to surprise you. The portal now shows each person their own work, rather than everything the company has.

  • Orders, shipments and To get done show the orders where you are the order's contact: usually the person who placed it, or the person your supplier set as contact.
  • Catalogue shows the products for the sub groups (clubs, schools, teams) you are assigned to, plus products that aren't in any group.
  • Visual jobs show enquiries for your sub groups, plus any you raised or are the contact on.
  • Messages show conversations for the orders you can see.
  • Your company's account admin sees everything and manages groups in My groups.

Notifications, the calendar, stock, the colour chart, fabrics and detailings are still shared by everyone at the company.

Tip

if a colleague can't find an order, check who the order's contact is. Your account admin, or your supplier, can sort it out. See Who in your organisation sees what.

#One inbox for your messages

Open Messages from the speech bubble at the top of the portal. Every order you can see has its own conversation, newest first.

  • Enter sends, Shift + Enter starts a new line.
  • Attach files with the paperclip, or drag and paste them in (up to 5 files, 5 MB each). On a phone, take a photo straight into the conversation.
  • Under your messages you'll see Sent, then Seen once your supplier has read it.
  • Hover over a message (or tap it on a phone) to reply to it, react with an emoji or copy it. You can edit your own message for 15 minutes and delete it any time; everyone sees "edited" or "Message deleted".
  • Star a conversation to keep it at the top, or mute it so it stops counting as unread. Stars, mutes and unsent drafts follow your login to any device.

Read Messages and notifications.

#Ask Flyte

If your supplier has switched it on, Ask Flyte is pinned at the top of Messages. It is an AI assistant: ask how the portal works or where your orders are up to. It only sees what you can see, and it can't change anything. Send to a human passes the conversation to your supplier's team.

#Your home page and To get done

  • Home shows your orders in progress, four counts (In production, Shipping, My products, Open enquiries) and a Calendar with your delivery dates. Days your supplier's production is closed (for example over a holiday) can show as Production closed. + Add Event adds your own entries, shared with your company.
  • To get done lists what is waiting on you, grouped under Orders, Approvals and Messages. Each line opens to list the actual orders or jobs.

Read Your home page and To get done.

#Your orders

  • Opening an order shows the stage tracker. Steps your order skips (for example, panel prints on a repeat order) show grey.
  • Download order details saves a PDF overview of the order.
  • The Freight & delivery card shows each leg: the main freight to your supplier's warehouse, then local delivery to you, or a direct shipment. Tracking numbers show as links where the carrier has one.
  • Change address now offers cards: the address already on the order, your company's saved addresses, your groups' addresses, or Enter a different address. Your supplier is told when you change it.

Read Following your order through its stages and Shipments and tracking.

#Confirming an order

  • Where is this order going? offers your saved addresses and your groups' addresses as well as a new one, or I'll confirm the delivery address later.
  • The earliest standard date now allows for local delivery from the warehouse to you, when the order comes that way.
  • If your supplier has already agreed a date with you, it is filled in. A date inside the normal lead time comes with urgent ticked; untick it if it isn't urgent.
  • Prices show on the page only if your supplier has switched them on for that order. If something looks wrong, Question about the pricing? sends your question straight to them.

Read Confirming an order.

#Approving a visual

  • Change only what needs changing. You can press Request Changes on the products that need work and leave the rest undecided. Approving or ordering still needs every product.
  • Send to my customer for approval (where your supplier uses it) passes the visual to your own customer on a separate link that shows no prices. If they ask for changes, your supplier makes them and sends the visual back to you. If they approve, you're emailed and nothing is ordered until you press Approve & Place Order.
  • Some suppliers use an older process instead, with a review phrase box beside Submit Decisions.

Read Approving a visual and Sending a visual to your customer.

#Raising an order from approved products

Raise Order Now now lists only the approved products from that one visual job. A button in an older email isn't tied to one job, so the page asks you to pick the job first. Read Raising an order from approved products.

#Catalogue and enquiries

  • Request a price: some products show Price on enquiry instead of a price. Press Request a price, enter quantities per size and a note, and your supplier replies with a quote. These products can't go into the Locker Room. See Making an enquiry or requesting a price.
  • New enquiry: the form now asks Who is it for? first (a sub group, or the whole account), and the product list follows your choice.
  • The product window adds Download template (where there's an artwork template) and Download details (an A4 image of the product and its details). On stock products you can pick a colour to see that colour's photos.
  • Minimum order quantities: if your supplier has switched this on, you'll see "Below the minimum order of …" on a product until enough units are added.

Read Browsing your catalogue, stock and resources.

#Signing in

  • The sign-in page now shows your supplier's colour.
  • If you see "This account has been disabled", your login has been switched off by your supplier, usually after someone leaves or changes role. Ask your account admin or your supplier to switch it back on.

Read Signing in and setting your password.
