Confirming an order

Every order starts as a draft. Confirm it with your PO number, freight method, delivery address and required-by date so your supplier can start.

4 min read

Every order arrives with your supplier as a draft. It isn't in production, nothing has been bought, and no factory has seen it. Nothing happens until it's confirmed on the order confirmation page. Confirming commits the order, so it's for whoever can approve the spend.

Watch out

don't forward the confirmation link to someone who can't approve the spend. Approval links are built to be forwarded; this one isn't.

#How you get there

  • The Confirm Order Details button in your email.
  • To get done → Review & confirm.
  • Orders, open the draft, then Approve order. There's also a shareable link there that needs no login.

You may get a reminder if an order is waiting for confirmation.

#Why confirm an order you just placed?

It's the most common question, and a fair one. If someone else placed the order, such as a club entering its own sizes, they can't commit your money. If you placed it yourself, it can feel like being asked twice. It isn't. The confirmation page asks for things nobody asked when the order was entered:

Detail Asked when ordering Asked at confirmation
Sizes and quantities Yes Yes — last chance to change
Names and numbers Yes —
Your purchase order number No Yes
Freight method (air or sea) No Yes
Delivery address No Yes
Date you need it by No Yes

It's the only point where anyone is asked how the goods ship, where they go, when they're needed, and under what purchase order.

Good to know

if you've already sent your supplier your purchase order, their team fills these details in from it, and the page shows them pre-filled for you to check rather than type again.

#What the page asks for

The page opens with "Please check everything below. You can update quantities if you need to, attach your own purchase order, then submit." It takes about a minute.

  • What you're ordering — Quantities per size, which you can edit (the order must keep at least one item), Total units, and names and numbers. After you confirm, quantities are locked.
  • Your purchase order (optional) — Your PO number and your PO document (Choose file…). Both are filed onto the order and the PO number appears on the paperwork.
  • Freight — the method, if there's a choice. It changes the delivery time, and the price where pricing is shown.
  • Where is this order going? — Already on this order, a saved address (your company's or one of your groups'), Somewhere else to type one in, or tick I'll confirm the delivery address later. That last option won't hold the order up; it's flagged in your To get done so you can add the address later. See Delivery addresses.
  • Date required by — the earliest standard date is shown: production, then freight, then local delivery. Leave it blank if the normal lead time suits you. Ask for a sooner date and the order is flagged urgent for your supplier to check. If a date has already been agreed it's filled in for you (marked Expected delivery when it's the delivery date), and a date inside the standard lead time comes with urgent already ticked. Untick it if it isn't urgent.
  • Pricing — only shown if your supplier has switched it on for your order. You'll see each product's unit price, its quantity price breaks and a running total that updates as you change quantities. Reach the next break and the price drops. A product whose quantity you don't change keeps the price already agreed. Tax is shown the way your invoice will show it.
  • Your name — required, so there's a record of who confirmed.

Then press Confirm & Submit Order. You'll see "Order confirmed and submitted — thank you."

#If a price looks wrong

Press Question about the pricing? under the total, say what's wrong and send it. It reaches your supplier straight away and lands on the order's messages. You don't need to approve pricing separately: confirming the order is your approval, and any question is settled with you before invoicing.

#What happens next

  1. The link becomes read-only ("Already confirmed").
  2. Your order shows Draft — Confirmed while your supplier's team checks it.
  3. Once they've confirmed it, you get the order confirmed email with a firm delivery date, and the order moves to Confirmed.

The order confirmed email carries no prices, so you can forward it to your own customer as their confirmation. See Your orders and their stages for what comes after.

If your order came from a purchase order you emailed in, the page also asks you to approve the artwork. See Confirming an order from a purchase order you emailed.

#Common questions

I've confirmed but haven't had an email. Your supplier sends it once they've checked your order.

I need to change something after confirming. You can only confirm once. Message your supplier on the order in Messages.

I don't know the delivery address yet. Tick I'll confirm the delivery address later, then use Change address on the order when you know.

I need it sooner than the date shown. Enter the date you actually need. If it's inside the standard lead time, the order is flagged urgent and your supplier will tell you whether it's achievable, rather than it going through as a normal job.

There are no prices on the page. That's normal. Pricing is only shown when your supplier switches it on for that order. Switching it on means the page is no longer safe to forward.

The link says it's already been used. An order can only be confirmed once. Message your supplier on the order.
