Who in your organisation sees what

Why colleagues see different orders, products and enquiries, what the account admin can do, and how to fix something that's missing.

Each person in the portal sees their own work, not the whole company's. That keeps things tidy when several people order for different clubs, schools or teams. It also explains nearly every "I can't find it" question.

#The account admin

Each company has one account admin — the person who manages the account. My groups → Your account → Your role shows whether you're Account admin or Team member. Your supplier decides who the account admin is.

  • The account admin sees everything for the company.
  • Only the account admin has My groups, where sub groups and their members are managed. See Managing your groups.

#What everyone else sees

What Who sees it
Orders, shipments and To get done The order's contact — whoever placed the order, or the person your supplier set as its contact.
Catalogue Products for the sub groups you're assigned to, plus products that aren't in any group.
Visual jobs Enquiries for your sub groups, plus any you raised or are the contact on.
Messages Conversations for the orders you can see.

These are shared by everyone at the company:

  • Notifications, including whether they've been read.
  • The calendar.
  • Stock, the colour chart, fabrics and detailings.

#Sub groups

A sub group is a club, school or team you order for. Each one can have its own logo, colours and delivery address. When you make an enquiry, Who is it for? picks the sub group.

Being assigned to a sub group matters: it decides which products and enquiries you see. If you're assigned to no group, you'll only see enquiries you raised yourself or are the contact on, and products that aren't in any group.

#When something is missing

If someone can't find an order, product or enquiry they expect, it's almost always one of two things:

  • They aren't the order's contact. Your supplier can change the contact on an order.
  • They aren't in the right group. Your account admin can fix this in My groups → Assigned users.

Ask your account admin, or tell your supplier and they'll fix it.

#Adding or removing people

Only your supplier can add a person, switch off someone's login, or change the account admin. Message them with the person's name, email address and which groups they should be in.

#Common questions

A colleague can't see our orders. Orders show to their contact. Ask your supplier to change the contact, or ask the account admin, who sees everything.

A new person sees no products. Assign them to their group in My groups → Assigned users.

It says I'm "not assigned to any group yet". Ask your account admin to add you to a group.

I don't have My groups. Only the account admin does.

Can I become the account admin? Ask your supplier. There's one per company.
