Sending a visual to your customer for approval

Get the club, school or team you're ordering for to approve the artwork themselves, on a page that shows no prices.

2 min read

Often the people who'll wear the garments, such as a club committee or a school, should approve the look. Send to my customer for approval gives them their own review link. Their page shows the artwork, sizes and colours and no prices, so you can share it without showing your costs.

#When you'd do this

  • Someone outside your organisation needs to sign off the design.
  • You don't want them to see prices.
  • You still want to be the one who places the order and commits the money.

#Step by step

  1. Open the visual from your "visual ready" email, Visuals → Review ›, or To get done → Review artwork.
  2. Press Send to my customer for approval, beside Submit Decisions.
  3. Add their name and email. Both are optional. The panel shows who the email will come from.
  4. Send it.

If you leave the email blank, you get a link to copy and send yourself instead.

#What your customer sees

Their page shows the artwork, sizes and colours, and no prices at all. They can approve each product or request changes.

#What happens next

If they ask for changes, the request goes to your supplier and you get an email saying what they asked for. Your supplier makes the changes and sends the updated visual back to you. You then share it with your customer again. Their old link stops working.

If they approve, nothing is ordered. You get an email saying they've approved. Open your own link and press Approve & Place Order as usual. You still enter the quantities, and you confirm the purchase order number and delivery details afterwards. See Approving a visual and Confirming an order.

Good to know

your customer can approve a design, but they can't commit your money. Anything with a commercial consequence comes back to you.

#Common questions

Can I forward the visual email instead? Yes, the link needs no login. But your own link lets whoever has it place an order. Send to my customer for approval gives them a page that shows no prices and can't order anything, so it's the safer option when the decision to order should stay with you.

My customer's link has stopped working. That happens when they requested changes and your supplier sent you an updated visual. Send them the new one.

I don't see a Send to my customer button. Some suppliers use an older process instead, with a review phrase box beside Submit Decisions that a rep types to send changes on some products first. If you have that box, that's the process you're on.
