Following your order through its stages

Find your orders, read what's on an order page, and understand each stage from Order Placed to Delivered.

3 min read

The Orders page shows every order you have with your supplier, from draft to delivered. Opening an order shows exactly which stage it's at, its delivery details, the products on it and its conversation with your supplier.

#The Orders page

Open Orders ("My orders — Every order you have with us, from draft to delivered"). The columns are Order, Name, Placed, Status, Est. dispatch, Tracking, Items and Total.

Things to look out for on a row:

  • Draft Order — waiting for you to confirm. See Confirming an order.
  • Draft — Confirmed — you've confirmed, and your supplier is checking it.
  • URGENT — you asked for a date inside the standard lead time.
  • A flag when the delivery address is missing.

Order from your catalogue starts a new order.

You see orders where you are the order's contact. Your account admin sees all of your company's orders.

Click a row. You'll see:

  • Order progress — the stage tracker. Steps your order skips show grey.
  • Approve order on a draft, plus a no-login link you can share with whoever approves the spend.
  • Download order details — a PDF overview.
  • Order details and Delivery — the delivery address, with Change address. See Delivery addresses.
  • Freight & delivery — each leg of the journey: international freight, then local delivery from the warehouse, or shipped direct to you. Carrier and tracking appear when available; until then it says "Tracking to come".
  • Products — with artwork, Logos & detailings, colours and names and numbers. View approval › opens the approved visual.
  • Order summary — Subtotal, GST and total.
  • Messages — the order's conversation with your supplier. Open in Messages opens the full inbox.

#The stages, in order

Stage What it means What you'll receive
Order Placed The order exists as a draft, waiting for you to confirm it, or it's paused until something is sorted with your supplier. A request to confirm, and possibly a reminder.
Confirmed Confirmed and with your supplier, being checked and scheduled. The order confirmed email, with a delivery date.
Artwork Approval Panel prints or a pre-production sample are waiting for your sign-off. Production waits on you. Skipped (grey) on orders that don't need it, such as repeats. A "samples ready for approval" email.
In Production Being made. —
Ready to Ship Made and waiting to be sent. If a freight method hasn't been chosen yet, your supplier will ask you. —
Shipping Dispatched and on its main freight leg, to the warehouse or direct to you. A dispatch ("left factory") email, often with production photos.
Out for Delivery Sent on locally from the warehouse. Skipped when it's shipped direct to you. An out-for-delivery email with a local tracking link.
Delivered With you. —

Good to know

Confirmed can look quiet. It means the order is with your supplier and scheduled. The next thing you'll usually hear about is panel prints, once the factory has the job and has run a test print.

#Common questions

My order says Confirmed but nothing seems to be happening. It's scheduled. Next you'll usually hear about panel prints.

It's stuck at Order Placed. Check To get done for a confirmation or a missing address. If there's nothing there, message your supplier. If your supplier uses invoicing and your order needs a deposit, it may also wait here until the deposit is paid. See Invoices and credit notes.

Where's my order? Open it in Orders. The stage, Est. dispatch and tracking are there. Shipments shows what has been sent. See Shipments and tracking.

I can't see an order a colleague placed. Orders show to their contact. Ask your account admin or your supplier. See Who in your organisation sees what.

Can I cancel or change quantities? After confirming, message your supplier on the order.

What does Est. dispatch mean? When the order is expected to be sent, not when it arrives.

Why is one stage grey? Your order doesn't go through that step.

My older orders aren't here. Orders from before you started using the portal may not have been brought across. Ask your supplier if you need one.
