Financials

See revenue, cost of goods and margin by customer, product, factory, PO and order, and find orders and POs that need attention.

2 min read

Financials (under Reports) shows your revenue, cost and margin. The figures are the same ones shown on each order's Costs & margin tab, added up across your business. All figures are in NZD, excluding GST.

You need the Financials permission. Owners see everything.

#What the figures mean

Figure What it includes
Revenue The sell value of order lines, by order date.
COGS (cost of goods) Goods at the PO's exchange rate, plus custom lines, branding, and freight and duties spread from shipments. Until a shipment's costs are spread, the product's estimate is used.
Gross margin Revenue minus COGS.
Margin % With a breakdown of buy, freight, duties and branding.

The tiles are clickable.

#Which exchange rate is used

Each PO is converted at the best rate available:

  1. An NZD PO needs no rate.
  2. A paid PO uses the actual rate paid, blended by amount if it was paid in several transfers at different rates.
  3. Otherwise, the rate captured when it was submitted.
  4. Otherwise, today's stored rate.

The COGS tile shows the difference compared with today's rates. Orders with no PO yet are estimated from the product's buy price and marked EST.

Risks Things that need attention (below).

#The Risks tab

  • Low-margin orders (under 20%).
  • Orders with no PO.
  • POs with no linked order.
  • Unpaid POs near or past their ETD.
  • POs with a stale exchange rate.
  • Data-quality issues: a subtotal that does not match its lines, POs with no exchange-rate snapshot, and order lines that do not match any PO line.

Tip

If an order shows 100% margin or zero cost, its order lines probably do not match its PO lines. The Risks tab lists these.

#Common questions

A figure shows a dash (—). There is no rate to convert it. It is not zero.

Some figures are marked as an estimate. The order has no PO yet (EST), or the shipment's freight has not been spread yet.

A cost changed after I paid the factory. The PO is re-converted at the rate actually paid.

I cannot see Financials. You need the Financials permission. An owner sets it in Team & Access.
