Creating a shipment

Build a shipment from items ready to ship, handle mixed freight methods and addresses, and fill in carrier, tracking and documents.

2 min read

When goods are ready at the factory, group them into a shipment: one consignment travelling one way to one place. You can include items from several POs and several factories on one shipment.

#Step by step

  1. Go to Freight → Ready to ship.
  2. Tick the items to ship. You can mix POs and factories. Ticking only part of a PO splits it automatically.
  3. Press Create Shipment.
  4. Flyte checks the selection:
    • Mixed freight methods — blocked. A shipment travels one way, so ship sea and air separately.
    • POs ship to different addresses — you are offered Deliver all to the warehouse. A direct-to-customer PO should ship on its own.
    • No warehouse address — you can Create anyway, but set one in Settings → General.
  5. The shipment opens in Booking.

Watch out

Creating a shipment does not ship anything. POs and orders do not move until you press Ship now — left factory.

#The shipment workspace

The workspace has two tabs, Shipment details and POs & items (n). The main button moves you on through the steps: Ship now — left factory, then Received at warehouse, then Spread costs or Close shipment.

The Actions menu has: add items, upload a document, landed-cost actions, Close shipment, Reopen shipment and Delete shipment.

#Cards on Shipment details

  • Route & dates — when it was created, left the factory, was received and was closed.
  • Carrier & tracking — Carrier, Freight type, Tracking number (with Copy and Track ↗), Sample shipment? and Notes. Press Save details. These freeze once the shipment is closed.
  • On this shipment — POs, lines, units, volume, orders and customers.
  • Documents — Upload file or + Add via link for invoices, packing lists and bills of lading.
  • Landed costs — see Landed costs.

#Sample shipments

Tick Sample shipment? for a shipment of samples. Its costs are left out of products' average landed cost, so a small, expensive sample run does not distort your figures.

#Adding late items

You can add lines to an open shipment even after it has left the factory or been received, for example when a PO finished late and is going on freight already in the air. The added line's order catches up by itself: it moves to the same status as the rest of the shipment once every item on that order is on a shipment that has gone. Until then it stays where it is, so attaching two of an order's twelve styles never tells the customer the whole order is on its way.

#Deleting a shipment

An open shipment without locked costs can be deleted with Delete shipment. Its lines return to Ready to ship.

#Common questions

"Mixed freight methods". Ship the sea and air items on separate shipments, or change the orders' freight method.

"Different addresses". Choose Deliver all to the warehouse, or ship the direct-to-customer PO on its own shipment.

Per-unit freight looks huge. If it is a sample run, tick Sample shipment?.
