How freight and shipments work

The Freight page explained, what a shipment is, and why shipments are the only thing that moves POs and orders to Shipping and Delivered.

3 min read

Once a factory has made your goods, they travel to you, and then on to your customer. Flyte tracks that journey with shipments on the Freight page. A shipment is one consignment from the factory to one place, built from purchase order lines.

#Two legs of the journey

Leg What it covers
Freight The international leg, from the factory to your warehouse, by the freight method chosen on the order (for example sea or air).
Local delivery The last leg, from your warehouse to the customer.

A PO set to Direct to the customer skips your warehouse and the local leg.

#Shipments drive the statuses

A shipment is the only thing that can say goods have physically left or arrived, so it is the only thing that sets these statuses:

What happens on the shipment PO becomes Orders become
Ship now — left factory (every shippable line has left) Shipping Shipping
Received at warehouse, or the shipment is closed Delivered Received (arrived, being checked)
Arrived and the PO is paid in full Closed

Good to know

Creating a shipment is not shipping. Nothing moves until you press Ship now — left factory, and you should only press it once the goods have actually departed.

Only lines that physically ship count. Freight charges, setup fees and other charge lines are left out, so a PO made only of charges never waits to depart.

#The Freight page

Go to Freight in the menu. Freight settings are in Settings → Shipping & freight.

Tiles across the top: Units ready to ship, Being booked, In transit, At warehouse and Waiting freight $.

Tab Shows
Ready to ship PO lines ready to go on a shipment.
Booking Shipments created but not yet departed.
In transit Shipments that have left the factory.
At warehouse Shipments received at your warehouse.
Waiting freight $ Shipments closed with no freight charge recorded yet.
Closed Finished shipments.
All shipments Everything, with a Hide closed toggle.

You can search by shipment number, tracking number, carrier or factory, and filter by factory and carrier. Each row's ⋯ menu offers Open shipment, Copy tracking number, Ship now — left factory, Received at warehouse and Delete shipment.

#What appears on Ready to ship

A PO line appears here when:

  • its PO is in Production, Ready to Ship, Shipping or Partial On Hold,
  • it has not already shipped,
  • it is not on hold,
  • it needs freight: the PO has Shipping required on, and it is not a charge or fee line.

The columns are PO #, Order #, Customer, Style, Qty, Address, Freight and Factory.

#The journey in order

  1. The factory finishes production. See Purchase order statuses.
  2. You create a shipment from Ready to ship. See Creating a shipment.
  3. You record the carrier and tracking.
  4. The goods leave: Ship now — left factory. The customer is emailed. See Ship now and receiving a shipment.
  5. They arrive: Received at warehouse.
  6. You add and spread landing costs. See Landed costs.
  7. You close the shipment.

#Common questions

An item is not on Ready to ship. Its PO is not in Production yet, it has already shipped, it is on hold, the PO has Shipping required off, or it is a charge line.

Can I set a PO to Shipping by hand? No. Use Ship now — left factory on the shipment.

The PO is still Shipping after the goods arrived. Press Received at warehouse on the shipment, or close it.
