Ship now and receiving a shipment
Record when goods leave the factory and arrive at your warehouse, what each step tells your customer, and how to close or reopen a shipment.
Two buttons on a shipment record the real-world events: the goods leaving the factory, and the goods arriving with you. Each moves POs and orders on and, where relevant, tells your customer.
#Ship now — left factory
Press this only when the goods have physically left.
#Step by step
- Open the shipment (or use the row's ⋯ on Freight).
- Press Ship now — left factory.
- Confirm, and choose whether to attach production photos to the customer email.
#What happens
- POs whose shippable lines have all left become Shipping.
- Their orders become Shipping.
- Each order's contact is emailed that it has left the factory: what is travelling, and that the rest follows if only part of the order is on this shipment.
The email is not sent if the order has no contact, the contact's order emails are off, or that email is switched off on the order.
This can only be done once per shipment. Factories on the portal can press it too.
#Received at warehouse
#Step by step
- Open the shipment.
- Press Received at warehouse.
- Confirm.
#What happens
- Every order on it becomes Received: arrived, being checked, awaiting local delivery.
- POs become Delivered, because the factory's job is finished. A PO that is already paid in full becomes Closed instead.
This can only be done once. Orders then move on to delivered by hand, unless your account has a dispatch integration switched on, which adds Out for delivery emails per shipment.
#If your account has Garment Works switched on
For a shipment sent to Garment Works, Received at warehouse opens a form instead of a simple confirm. For each shipment PO it asks for the supplier's invoice number and date, and how many of each product and size actually arrived. Wherever the count differs from what shipped, a note is required (for example "short" or "damaged"). Mark received then records everything in Flyte and in Garment Works. If Garment Works cannot take it, the shipment is still received in Flyte and the card explains why for each PO.
#Closing a shipment
Close Shipment:
- copies the carrier and tracking onto the orders,
- moves POs whose goods have all arrived to Delivered (or Closed if paid).
It does not spread costs. It is blocked while any product on it has no volume, and the product is named. A shipment closed with no freight charge yet appears under Waiting freight $.
#Reopening and deleting
- Reopen shipment makes a closed shipment editable again.
- Delete shipment works on open shipments without locked costs. The lines go back to Ready to ship.
#Delivered and Closed for orders
Nothing marks an order Delivered on its own, unless a dispatch integration is switched on for your account. An order is Closed when it is delivered and its PO is paid.
#Common questions
The customer did not get the "left the factory" email. The order has no contact, order emails are off for that person, or that email is switched off on the order.
The PO is Delivered, not Closed. It is not paid in full yet.
I cannot close the shipment. A product on it has no folded size. Set its volume on the product.
