Proposing changes, prices and custom items
How to ask the company to change a product, a price, the MOQ or lead time, or add an extra charge, and how to follow your proposals on Approvals.
You cannot change a company's product or PO directly. Instead, you propose a change, and the company approves or rejects it. Nothing changes until they approve. This keeps both sides in agreement about what is being made and what it costs.
#Propose a change to a product on a PO
Use this to change the MOQ (minimum order quantity) or the lead time.
- On the PO, open Actions → Propose a change, or press the ✎ Propose a change chip on a product.
- Fill in Proposed MOQ and/or Proposed lead time (days). Leave a field blank if you do not want to change it.
- Give a Reason for the change.
- Press Send for approval.
#Propose a change on the product itself
- Go to sidebar → Products and open the product.
- Press Edit on a section: details, production, sizes, dimensions, or Pricing (your Buy price tiers).
- Changed fields turn yellow.
- Press Save changes. The changes are sent to the company for approval.
If the pricing says "inherited from the base product", propose the change on the base product instead. Press Open base product.
Good to know
Some fields save straight away, with no approval: Factory ID, Size spec, Pattern file, and files you upload.
#Propose a price for one PO
Use this for a price on one PO only, such as a surcharge.
- Press the Propose a price chip on a product or an extra line. Or use Actions → Propose a price and choose the product code.
- Enter the New unit price and a Reason.
- Press Send for approval.
You can only do this before production starts: while the PO is a draft, Submitted or Not Approved. After that, the PO's price is agreed.
Watch out
While your price proposal is waiting, Accept & Start Production is greyed out. Accept once the company approves or rejects it. If they reject it, the current price stands. You can propose again, or accept at the current price.
You only ever see and propose buy prices — what you are paid. If a price needs agreeing first, discuss it with the company in messages.
#Add a custom item
Use this for an extra charge or item on a PO, such as a setup cost, extra freight or a sample fee.
- On the PO, press + Add custom item (sends approval).
- Enter a description, quantity, unit price, a size group and a reason.
- Send it. It is added to the PO only when the company approves.
Good to know
The size group must have one size only, normally Uni. A custom item has one quantity and one price, so you cannot add a full size run this way. If garment sizes need to be added, ask the company to add those lines to the PO.
#Following your proposals: the Approvals page
Where: sidebar → Approvals. This page lists the changes you have proposed, and the panel prints you sent to the company for approval.
- Tabs: Pending, Approved, Rejected, All.
- Proposals are grouped by type: Panel prints sent, Price, MOQ & lead-time proposals, PO change requests, Custom line items and Other.
- Each one shows how long it has been waiting.
- Press Withdraw on a pending proposal you no longer want. The company will no longer see it.
When the company decides, the status changes here. You also get an email if Factory emails is on for you. A rejection may include their reason.
#Common questions
My proposal is still Pending. The company has not decided yet. Remind them in the PO messages.
Can I edit a proposal? No. Withdraw it and send a new one.
My proposal was rejected. Read the reason, talk to the company, and propose again if needed.
Why can I not change the price on the PO directly? Prices are the company's to approve. Propose a buy price change, or add a custom item.
Can I add sizes S to XL as a custom item? No. Custom items are single-size only. Ask the company to add them.
