Pack finished goods into shipments, add the carrier, tracking and documents, and press Ship now when the goods leave your factory.

3 min read

When goods are finished, you pack them into a shipment. You add the carrier, the tracking number and the documents. When the goods physically leave your factory, you press Ship now — left factory, and everyone is told. This article covers every step.

Where: sidebar → Freight.

#The stages

The Freight page has a tab for each stage:

Tab What it shows
Ready to ship Lines on your POs in production that are not on a shipment yet.
Being packed Shipment created, but it has not left the factory.
In transit Left the factory, not received yet.
Received Received at the company's warehouse.
Closed Closed by the company.
All shipments Everything. Use Hide closed to tidy it.

#Before you ship: check the delivery

Open the PO and check the Shipment & delivery card:

  • To the merchant — deliver to the company's warehouse.
  • Direct to the customer — the address is shown.

If the freight method or the address says Not set, ask the company before you ship.

#Creating a shipment

  1. Go to Ready to ship.
  2. Tick the line items that are going together. You can tick lines from several POs.
  3. Press Create shipment.

If you tick part of a PO, the PO is split automatically. The rest stays on Ready to ship for a later shipment.

You can also start from the top bar: + New → New shipment.

#Splitting a PO from the PO page

On a PO you can also use Shipment split. Tick the items going on the second shipment. Use Move qty to move part of a quantity.

#Filling in the shipment

Open the shipment. It has Shipment details, POs & items, Documents & photos and Activity.

  1. Choose the Carrier and the Freight type.
  2. Enter the Tracking number and any Notes.
  3. Press Save details.
  4. Press Upload document or photo to add the commercial invoice, packing list, airway bill and carton photos.

Other things you can do:

  • Add items — add more ready lines.
  • Remove — sends a line back to Ready to ship.
  • Delete shipment — its lines go back to Ready to ship and the PO(s) go back to Production. This cannot be undone.

Good to know

"NO VOLUME" on a line means the product has no volume set. The company needs to set it. Tell them.

#Ship now — left factory

When the goods physically leave your factory:

  1. Make sure the carrier and tracking are saved, so the customer can follow the goods.
  2. Open the shipment.
  3. Press Ship now — left factory.

This tells every customer on the shipment that their order has left the factory. It moves the PO(s) to Shipping.

Watch out

Ship now can only be done once. Do not press it until the goods have really gone. If you press it too early, message the company. You cannot undo it yourself.

#After the goods leave

Once the company closes the shipment, the carrier, tracking and notes are frozen.

When POs have shipped, you can ask to be paid. See Payments and payment requests.

#Common questions
