Opening a purchase order

A guide to every part of a PO page, from the stage card and dates to delivery, attachments, payments and messages.

2 min read

Click any PO to open its page. The page has everything you need to make the order: the company's notes, the dates, where to deliver, the products and the conversation with the company. This article walks through each part.

To move between POs, use Previous PO and Next PO. Press Close to go back to the list.

#The header

The header shows the PO number, the company, the status, and the main buttons for the current step.

Actions holds everything else, such as:

  • set the ETD
  • put the PO on hold
  • upload attachments
  • Print / save as PDF
  • Add custom item
  • Propose a change for each product

#Stage

The Stage card shows where the PO is now, what is Up next, and the quick button for this step.

All stages shows the whole path, for example:

  1. Waiting for you to accept
  2. You are making it
  3. Packed and ready
  4. Left the factory
  5. Customer has it

#PO details

#Notes from the merchant

Notes from the merchant are instructions the company wrote for you. Read them before you start production.

#Dates

The Dates card shows when the PO was Created, the ETD, and a timeline.

The ETD is your estimated date for finishing the goods. Pick the date and press Save ETD.

Watch out

If you see ● ETD not saved, you changed the date but did not save it. Press Save ETD.

#Shipment & delivery

This card shows how and where the goods go:

  • Freight — the freight method.
  • Carrier and Tracking — these say Set on the shipment, because you add them when you create the shipment.
  • Deliver to — To the merchant (the company's warehouse), or Direct to the customer, with the address.

If you see Not set — ask the merchant, ask the company before you ship.

#Attachments

Upload invoices, packing lists and photos here. The company is told. No approval is needed.

#Payments

The Payments card shows what the company has paid on this PO, and your payment requests. It is read-only, because the company records payments. See Payments and payment requests.

#Activity, Totals and Messages

  • Activity — everything that happened on the PO.
  • Totals — the products and any freight on your invoice.
  • Messages — the conversation with the company about this PO. It is pinned at the side of the page. See Messages and support tickets.

#Products

Each product on the PO has its own section with the size grid, prices, artwork and photo slots. See Products, artwork and sizes on a PO.
